**Position Description**:
Under supervision of the Manager, and with functional direction from Supervisors, the purpose of this position is to maintain and coordinate network and systems assets inventory, vendor contracts and licenses, hardware and software maintenance agreements, analyse and document workflows, budgeting, produce technical drawings, and carryout project management, logístical and administrative activities. This position is accountable for the ordering and receiving of computer and network equipment, and ensuring that inventories, service agreements, contracts and licenses are maintained on all enterprise network and server equipment. This position is also accountable for providing effective and accurate support and technical services to ensure the efficient workflow and operation of the department, working groups, projects, and response teams.

This position is accountable for:

- Accurately and efficiently administering and maintaining of inventory, asset databases, maintenance contracts and licenses on all equipment and software
- Assisting with technical aspects of project and operational work including the tracking of timelines, budgets, changes, issue logs and producing technical and architectural drawings
- Analysing and documenting of work process workflows
- Administrative tasks and duties in support of the team

**Responsibilities**:

- Identifies requirements for, develops and maintains databases for Data Centre and Network communication equipment and servers. Maintains and ensures the accuracy of current information and reports on the inventory status of hardware, software, and licenses. Processes, tracks and receives equipment orders for communication equipment and servers. Checks outgoing orders and shipments received, validating technical components quantities. Contacts and communicates with equipment vendors as required to resolve deficiencies in orders.
- Maintains Data Communications contract records. Regularly reviews orders with ITS technical representatives and cancels communication lines and/or links as necessary. Monitors status and accuracy of invoices and communicates with vendor and Calgary Board of Education (CBE) financial departments to ensure accounts are current and changes are processes.
- Records, monitors and analyses expenditure on the department’s operating and capital budgets. Identifies and researches cost savings opportunities. Coordinates strategic budget planning with-in the department.
- Establishes, modifies and maintains office and record management procedures and systems to ensure departmental effectiveness and efficiency. Prepares cost reports, cost comparisons, and provides analysis for the Manager.
- Prepares and submits requisitions for all departmental equipment purchases and purchase related to capital projects and operating initiatives. Ensures that requisitions follows internal ITS and external Strategic Sourcing Guidelines. Creates or reviews technical support materials justifying the procurement.
- Administers and maintains departmental processes and systems by utilizing scripting or other software tools (where necessary) to develop, test and implement minor programming changes.
- Acts as the Logistics Lead for ITS Emergency Response Teams (ERT) and in Disaster Recovery (DR) situations by organizing space, cross functional teams, vetting communications and completing emergency procurements, updating system status pages/lines, and tracking post incident activates. Responsible for coordinating activities between ERT/DR Leads, and external resources outside of ITS or Learning Innovations. Make recommendations on improvements to response handling. Tracks completion of recommendations.
- Analyses internal or cross functional processes that affect the department. Meets with key stakeholders, gathers requirements, optimizes processes, and documents workflows. Routinely reviews department procedures and provide oversight.
- In support of both internal and external IT Audits, maintains an ongoing artefact repository. Routinely review repository for completeness and identifies to section leads the need for remediation. Prepares “Provided by Customer (PBC) documentation as requested by auditors. Provides explanations of Artefacts and working practices as requested. Provides logístical and technical support for internal IT audits.
- Performs the secretariat role for ITS Change Management Practice and other Working Groups. Including establishment of schedules, organization of meetings, change and issue tracking and follow-up on task assignments.
- Answers routine and complex user queries, screen call queues, redirect calls, and provide other technical assistance to users during times of high Service Desk call volumes.
