Administrative Assistant to The Director

**Maximum Property Solutions** is a regional property management company that serves financial institutions by managing their properties nationally, as well as serving landlords with their local rental management needs. This new position will involve being part of a professional team in an office setting, typically Monday through Friday 8:00am to 5:00pm. You will help our team of file managers by supporting them with various needs including but not limited to sourcing contractors, scheduling maintenance requests and other administrative duties.
- A minimum two (2) years of Administrative Experience serving and supporting others.
- Exceptional administrative abilities
- Taking incoming calls and dispatching
- The ability to communicate well with trades and maintenance workers
- The ability to work well under pressure in a fast-paced environment
- Excellent multi-tasking abilities
- Great memory recall, organization, and analytical skills
- Excellent computer skills in Microsoft Office and Sage 50
- Proven positive attitude and team mentality
- Motivated, eager to learn and a self starter
- Speaking French is not required, but would be considered an asset
**Primary Responsibilities**:
Data/Team/Support as required
- Maintain property database, including all changes.
- Maintain and follow up on non-compliance and audit processing
- Maintain vendor database and compliance issues
- Work with all types of vendors including Subcontractor Trades
- Arrange hydro, gas and water reconnections/disconnections as requested
- Coordinate and schedule assessments for properties as needed
- Generate and issue invoices
- Sign off and approve all invoices

**Job Types**: Full-time, Permanent
Pay: $17.00-$20.00 per hour
