**Overview**:
Fred Douglas Management Inc. (FDMI) is seeking a detail-oriented and organized **Administrative Assistant **to join our team.

Reporting to the Executive Director of Property Management and Resident Relations and to the building Property Manager, the **Administrative Assistant **will provide crucial administrative support to the Executive Director, Property Manager, Board of Directors, Residents, Building Superintendent and ensure the efficient operation of the daily activities within the project.

**During employment, your responsibilities will include but are not limited to the following**:
**General Administrative Tasks**:

- Organize and maintain physical and digital files.
- Schedule and coordinate meetings, appointments, and events.
- Greet and assist visitors to the facility.

**Data Entry and Record Keeping**:

- Input and maintain accurate data in databases and systems.
- Prepare and update reports, spreadsheets, and documents as needed.

**Communication**:

- Serve as a liaison between residents, staff, and external contacts.
- Ensure timely and effective communication within the organization.

**Office Management**:

- Order and maintain office supplies and equipment.
- Coordinate with vendors and service providers.

**Support to Management**:

- Assist in preparing reports and presentations.
- Handle confidential information with discretion.

**Resident Services**:

- Respond to inquiries and provide information to residents and their families.
- Support in organizing community events and activities.

**Qualifications**:

- Proven experience as an Administrative Assistant or in a similar role. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, OneNote, Publisher, Access) Exchange Online, SharePoint and OneDrive, and basic office management software such as Zoom, Trello, and Dropbox.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- High attention to detail and accuracy.
- Ability to handle sensitive information with confidentiality.
- Prior experience in a senior living community or healthcare setting is a plus.

**Education and Requirements**:

- College diploma or equivalent.
- Additional certification in office administration or related field is advantageous.
- Experience in property management is preferred.
