**Position summary**:
We are currently seeking a highly motivated health professional to contribute to our organizational mission of working with our communities to promote and protect health and prevent disease.

Reporting to the Administrative Assistant, the Program Assistant provides administrative and programmatic support across multiple programs within the Health Promotion and Vaccine Preventable Diseases Division, contributing to the efficient operation and coordination of division-wide initiatives. This role requires strong organizational skills, adaptability, and the ability to manage competing priorities in a fast-paced, collaborative environment. In addition to the responsibilities outlined above, you will have consistent assignments that support the ongoing success of the divisional programs_._

**Responsibilities**:

- Provides administrative and design support to the team/program in activities related to the accomplishment of the Ontario Public Health Standards.
- Applies corporate standards, policies and procedures to ensure consistency in documents developed and issued to the public and to ensure legislative requirements are met.
- Develops and executes creative, targeted, on-message design concepts for a wide range of media to meet the organizational requirements.
- Facilitates and completes all logistics for program related media in consultation with the team (i.e. file preparation, obtaining quotes and purchasing costs, writing purchase orders, booking time slots, coordinating the internal communication approval processes to ensure timelines are met).
- Develops and maintains various program and team resources and promotional materials by designing, updating, proofreading, publishing and reordering materials, in collaboration with appropriate staff as required.
- Assists with event planning activities as needed.
- Generates and maintains distribution lists (including community contacts) event calendars, team bookings, and resource directories to support program delivery.
- Stocks, maintains and keeps accurate inventory of supplies, equipment and program resources. Initiates process for team review to ensure supplies, equipment maintained in storage are kept up to date.
- In consultation with the DAA/AA/Program Manager, follows the procedures for training, auditing and tracking records. As record steward, provide site maintenance and records management support as required.
- Attends and actively participates in team meetings/program planning, and training sessions.
- Provides back-up coverage, per established practice, for other program assistants as required.
- Provides administrative support to committees, including drafting and distributing meeting agendas, coordinating virtual meetings using Microsoft Teams (e.g., setting up breakout rooms), taking detailed minutes, and managing follow-up communications.
- Participates in the orientation of staff, students, volunteers and others as may be required for the position.
- Conducts assignments in a fiscally responsible fashion.

**Requirements**:

- Post-secondary (2 years) diploma and training in graphic design, marketing, public relations or related field or equivalent years education, training and work experience.
- Two years related experience.
- Advanced oral and written proficiency in English and French is required.
- Adobe Creative Cloud (InDesign, Illustrator, Photoshop, Acrobat Pro)
- WordPress (including HTML)
- Microsoft Office Suite (including MS Teams)
- SharePoint
- Strong conceptual thinking and attention to detail.
- Well-developed oral and written communication skills.
- Highly developed organizational, and time management skills.
- Ability to work effectively with interdisciplinary teams, community agencies, coalitions and partners.
- Ability to work independently and collaboratively as part of a team.
- Holds a valid Ontario driver’s license and has access to a reliable vehicle with agency-required insurance to fulfill position requirements.
