**Key Responsibilities**:
- **Patient Scheduling & Coordination**:
- Schedule and confirm patient appointments, ensuring optimal use of clinic resources and timely access to care.
- Collaborate with healthcare providers and outreach staff to coordinate patient follow-ups, referrals, and treatments.
- **Medical Records Management**:
- Maintain accurate and confidential patient records in compliance with privacy laws and regulations.
- Update electronic health records (EHR) with relevant clinical information, lab results, and notes.
- **Frontline Patient Interaction**:
- Greet and assist patients with check-in and check-out procedures.
- Answer patient inquiries, provide information, and direct patients to the appropriate services.
- **Administrative Support**:
- Assist with managing office supplies and equipment.
- Prepare and process forms, documents, and other clinic-related paperwork.
- Perform other administrative tasks as required to support the clinical team.
- **Collaboration & Communication**:
- Collaborate with other staff, including nurses, outreach workers, and clinicians, to support comprehensive care delivery.
- Communicate effectively with patients, family members, and external healthcare providers.
**Qualifications & Skills**:
- Proven experience as a Medical Office Administrator, Medical Secretary, or in a similar administrative role in a healthcare setting.
- Knowledge of medical office procedures, health insurance billing, and patient privacy laws (e.g., HIPAA).
- Strong organizational skills, with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication and interpersonal skills, with the ability to interact with patients, healthcare providers, and team members.
- Proficiency in medical software and electronic health records (EHR) systems.
- Ability to work in a fast-paced environment and adapt to changing demands.
- Familiarity with infectious disease care, including HIV and Hepatitis C, is an asset.
**Education**:
- Completion of a Medical Office Assistant program or equivalent certification is preferred.
- Additional training or experience in public health or infectious diseases is a plus.
