**Key Responsibilities**
General Office Duties:
- Answer and direct all incoming phone calls in a professional and courteous manner.
- Greet and assist guests, visitors, and tenants entering the office, addressing general inquiries with a focus on delivering an exceptional customer service experience.
- Coordinate, receive, and distribute all incoming and outgoing mail and courier deliveries.
- Oversee general office upkeep, including ordering and managing office supplies, equipment, and stationery for new properties.
- Order business cards and property signage as required.
- Support weekly recycling efforts and contribute to the overall cleanliness and organization of the office.
Property Management Support:
- Follow up on rental inquiries and incoming leads to support leasing efforts.
- Conduct monthly audits of the company website and third-party rental listings to ensure accuracy and consistency.
- Coordinate the collection and uploading of updated building, show suite, and exterior photographs upon completion of landscaping.
- Issue and track tenant and visitor parking passes.
- Assist with rent-up activities by preparing startup documentation, equipment, and materials for new buildings.
- Conduct monthly file audits to ensure compliance and accuracy across property files.
- Assemble and organize tenant welcome packages or gift bags for events and building launches.
- Perform other related duties as assigned to support the ongoing needs of the organization. Responsibilities may evolve over time based on business priorities and operational requirements.
**What you need to bring**:
- Minimum 2 years working in an administrative role and office environment;
- Exceptional administrative and organizational skills, including the ability to prioritize workload;
- The ability to multi-task and adapt to an always changing environment;
- Excellent interpersonal, written, and verbal communications skills;
- Comfortable working with technology and proficient in MS Office (Word, Excel, PowerPoint and Outlook);
- Ability to establish and maintain effective working relationships with staff at all levels of the organization;
- Friendly and positive attitude;
- High level of initiative and sense of urgency;
- Attention to detail and time management.
- Comfortable with evolving priorities and dynamic work settings.
**What do we offer you?**

We provide a competitive salary based on experience of $50,000 to $60,000 per year based on experience. We provide a competitive salary based on experience in addition to the below:
