We are hiring a Corporate Office Coordinator, and this is a Part time Hourly role based Tuesday and Thursday on site in Grimsby office.
Reporting to the Office Manager, the Corporate Office Coordinator provides a range of administrative and clerical duties to support the operations of the corporate office. The Corporate Office Coordinator will assist Corporate Services team with planning, coordinating, and implementing EMT meetings, team building events and Town Hall meetings. In addition, they will serve as the first point of contact on all matters pertaining to the corporate office, as well as actively participate in the day-to-day operations of the departments including Operations and Finance. The Corporate Office Coordinator work with a minimum of supervision on multiple activities and ensure deadlines are adhered to and established procedures followed.
RESPONSIBILITIES
Main Reception
- Greets visitors and determines visitor needs in a professional manner
- Monitor visitor access with mandatory sign-in requirement; is aware of and reports any suspicious activity
- Transcribe and deliver messages accurately and with urgency
- Forward calls to the appropriate department / teammate
- Ensure backup coverage when absent from reception desk
- Ensure corporate health & safety protocols are being met by visitors and contractors

Administrative support
- Provide administrative support to Office Manager and Executive Assistant
- In the absence of the Office Manager, will support with research, arrange and coordinate travel, transportation and accommodation for the President and CEO. In addition to coordinating meetings and calendar management for the President & CEO. At times, may we required to manage corporate credit card payments and reconciliation reports for President and CEO.

Prepares correspondence, schedules meetings and appointments, arranges travel itineraries and agendas and compiles documents for travel-related meetings when the Office Manager is in meetings, out of the office or on vacationCode and track business expensesAnswers all incoming calls in a timely and polite manner clearly determining the purpose of call; forwards calls accordingly
- Coordinate and support deliveries between APL locations including Estates, Oakville, and Vancouver offices
- Work with vendors for shredding, equipment repairs, and couriers.
- Manage hybrid office requirements
- Assist in the planning, implementation and execution of the Corporate Holiday Open House (600 employees) and additional corporate functions
- Assist Office Manager and Executive Assistant, with planning and coordinating EMT meetings, team building events and Town Hall meetings
- Participate on project work
- Manage multiple sport event season tickets
- Manage & coordinate company business card orders
- Ensure adequate supply of office stationery and courier supplies
- Coordinate and distribute corporate programs and announcements
- Oversees the ordering and management of Grimsby Corporate Office Kitchen and coffee supplies including reconciling invoicing.
- Review, reconcile and approve courier invoices
- Maintain reception area and meeting rooms in a tidy and presentable manner
- Maintain corporate contact lists
- Manage office catering requests
- Manage meeting room coordination, ensure meeting equipment is functioning and that meeting spaces are kept clean/tidy and with the necessary supplies
- Handle sensitive and confidential information with discretion and professionalism.

Mailroom Maintenance/Organization/Couriers
- Manage all incoming and outgoing mail/parcels via Canada Post and Couriers

Sorts and manages incoming and outgoing mailReplenish postage meter as requiredFollow safe work procedures and practices and reports all unsafe working conditions / hazards to their Manager
REPORTING RELATIONSHIPS
- Reports to: Office Manager with dotted line to the Executive Assistant
- Direct Reports: none

The Corporate Office Coordinator will build relationships with other executives/senior managers as well as internal/external stakeholders.
