**Duties and Responsibilities**:

- Greet and welcome visitors in a professional and courteous manner.
- Clerical duties (ie faxing, filing, scanning and photocopying)
- Answer and direct incoming phone calls to the appropriate departments or individuals.
- Manage the reception area, ensuring cleanliness and tidiness at all times.
- Assist the current team with administrative duties as requested
- Prepare letters, mass mailings, and faxes according to requirements
- Provide assistance to the insurance and investment business as required
- Completes data entry into the Client Information Management System (CIMS) as required.
- Contacts appropriate professionals for equipment service calls when necessary and maintains accurate records of the service calls.
- Maintains an inventory of office supplies, orders supplies when necessary with approval from Manager
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Handle incoming and outgoing mail, packages, and deliveries.
- Assist with general administrative tasks, including data entry, filing, and photocopying.
- Coordinate appointments and meetings, including booking conference rooms and arranging catering as needed.
- Assist with organizing company events and special projects.
- Provide clerical and administrative support to various departments as required.

**Qualifications**:

- High school diploma or equivalent; college degree preferred.
- Proven experience as a receptionist or in a similar role.
- Excellent communication and interpersonal skills.
- Professional appearance and demeanor.
- Accounting/Bookkeeping certificate or higher an asset,
- 1-2 years of experience in a similar role an asset.
- Strong organizational, time management and problem solving skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently with mínimal supervision.
- Prior experience in customer service is a plus.

**Salary Range $45,000 - $50,000**
