**Job Overview**
The Administrative Assistant provides essential support to ensure smooth day-to-day operations. This role involves managing schedules, handling correspondence, organizing documents, and assisting with general office tasks. With administrative duties in the assigned Department and switchboard/reception. The team member will be responsible for inputting client inquiry information into the database. This individual undertakes any other duties as assigned by their direct supervisor.
**Duties and Responsibilities**
- Handle incoming/outgoing and inter-office calls.
- Reception - Receiving and directing visitors and clients in a professional and comforting manner.
- Sorting and distributing mail
- Taking messages for clients
- Accept payments for services and wellness center service as well as generating invoices and being backup for wellness center appointment bookings
- Generate and fax referral letters for new admission with referents
- Update MOH bed count onto MOH website
- Schedule appointments bi-weekly and handle rescheduling missed appointments
- Upload photos of new admissions onto server and print out photo form for nursing
- Other duties as assigned
**Qualifications**:
- High school diploma or equivalent
- 1-2 years administrative experience
- Superb written and verbal communication skills
- Excellent computer skills
- Ability to establish priorities and manage time effectively.
- High degree of initiative and willingness to assist in any area required.
- Ability to deal effectively and compassionately with people in many capacities.
- Mental Health & Addiction experience
- Ability to keep information confidential.
- Must be able to understand and follow directions.
