As an Administrative Assistant within our Property Management team, your primary purpose is to provide essential administrative support and contribute to the seamless operation of property management functions. Your role will encompass a diverse range of responsibilities, including project assistance, lease processing, document preparation, and coordination of various tasks crucial to the efficiency of our property management processes.

**Key Responsibilities**:

- **Administrative Support**:

- Streamline and enhance administrative processes to ensure the smooth functioning of the Property Management team.
- ** Project Assistance**:

- Contribute to the success of various projects, ranging from tenant events to the implementation of new procedures, showcasing your versatility and adaptability.
- ** Meeting Participation**:

- Actively engage in Daily Morning Call meetings, fostering open communication and collaboration within the team.
- ** Reporting**:

- Compile and present quarterly reports, playing

**Principal Responsibilities**:

- **Administrative Support**:

- Provide comprehensive administrative support to the Property Management team.
- File correspondence and documentation efficiently.
- ** Project Assistance**:

- Assist with various projects, such as Party Room raffles, tenant Christmas parties, and the implementation of new processes and procedures.
- Collaborate on initiatives to enhance overall property management efficiency.
- ** Meeting Participation**:

- Attend and actively participate in Daily Morning Call meetings as needed.
- ** Reporting**:

- Prepare quarterly reports to evaluate Site Resident Managers' achievement of occupancy targets and bonuses.
- Submit completed reports to the Vice President of Property Management.
- ** Lease Processing**:

- Process all new leases signed, creating both hard and soft copies of the file.
- ** Lease Extensions and Amendments**:

- Prepare and/or review Lease Extensions and/or Amendments, ensuring accuracy before submission to the Vice President of Property Management for signature.
- Manage a tracker to monitor the signing and processing of these documents.
- ** Legal Document Preparation**:

- Prepare legal documents for Landlord Tenant Board hearings, evictions, etc., adhering to the Residential Tenancies Act.
- ** Tenant Renewal Process**:

- Assist in managing the tenant renewal process.
- ** Move-Ins and Move-Outs**:

- Assist with processing Move-Ins and Move-Outs efficiently.
- ** Tenant Modification Request (TMR) Process**:

- Manage and maintain the Tenant Modification Request process, including the submission and follow-up on outstanding TMRs.
- ** Purchase Order Management**:

- Prepare Purchase Orders in BuildingLink, including attaching quotes and submitting them for approval by the Senior Property Manager.
- ** Tenant Insurance and Audits**:

- Assist in maintaining tenant insurance requirements.
- Conduct bi-monthly insurance audits as needed.
- ** Parking and Locker Audits**:

- Assist with conducting parking and locker audits.
- ** Unit Turn Technician Schedule**:

- Manage the weekly schedule for the Unit Turn Technician and distribute it to relevant personnel.

**Qualifications**:

- Previous experience in property management or a related field is preferred.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office Suite and property management software.
