Specialty Leasing and Administrative Coordinator

SPECIALTY LEASING AND ADMINISTRATIVE COORDINATOR
**Responsibilities**:
- Manage leasing common areas, temporary kiosks, and temporary inline/pop-up stores.
- Identify and attract new and unique prospects for temporary leasing programs to generate alternative revenue.
- Plan, organize, and coordinate various Vendor Shows throughout the year to attract potential tenants and showcase the available leasing options.
- Prepare and distribute all necessary documentation, including Temporary License and Temporary Rental Agreements, ensuring accurate details of commencement dates, fixturing periods, rents, deposits, insurance, store openings, and contact information.
- Coordinate tenant openings, closings, and moves, and notify relevant internal groups to ensure smooth operations.
- Proactively seek new tenants to lease commercial space at the shopping mall.
- Maintain up-to-date files and databases, including tenant files, returned documents, expiry dates, and current and potential tenants for specialty leasing and permanent lease prospects.
- Ensure a customer-friendly and positive experience for all potential leasing tenants in their dealings with the company.
- Maintain a comprehensive database of clients, vendors, and new contacts to foster and expand business relationships.
- Represent the property within the community, building external relationships to meet the local community’s needs.
- Other administrative duties as assigned.
Qualifications:
- Post-secondary Degree in Business Administration, Real Estate, or a related field (preferred).
- Proven experience and expertise in leasing, specifically short-term retail space, markets, pop-ups, or similar field an asset.
- Strong understanding of lease agreements, contracts, and negotiation processes.
- Excellent administrative abilities with exceptional attention to detail.
- Ability to work under pressure and effectively multi-task in a fast-paced environment.
- A proactive approach to identifying and attracting new leasing prospects.
- Exceptional communication and interpersonal skills, with the ability to build and maintain relationships.
- Proficient in maintaining accurate and up-to-date databases and files.
- Strong organizational and problem-solving skills.
- Knowledge of local market trends and consumer preferences.
- Flexibility to work occasional evenings, weekends and attend events outside regular business hours.
