Office Administrator

SUMMARY:
The Office Administrator holds an integral position within the club. A demanding role involving managing the club office operations, providing exceptional customer service to players, parents, and visitors, and working closely with the Executive Committee, Technical Director, and Bookkeeper to ensure the club runs smoothly.

DUTIES AND RESPONSIBILITIES: Customer Service
- As first point of contact, provide exemplary customer service to all CFC members & stakeholders.
- Answer phone and take messages as needed.

Club Office
- Must be able to work flexible hours during peak times.
- Ensure the club office is organized and always welcoming.
- Manage and maintain technology systems.
- Manage and maintain office supplies.

Database Management
- Build programs, manage player registration, including collecting registration fees & verifying player eligibility.
- Enter games in BCCSL for U11-U18 teams.
- Provide game schedule to field set up staff.
- Enter games into AssignR; confirm referees for games.
- Update team coach information into BCCSL.
- Book and maintain field bookings and cancellations with the City of Chilliwack.
- Maintain accurate and complete player and team records, including a database of coaches and assistant coaches.
- Oversee the administrative requirements for club volunteers including but not limited to Criminal Record Checks, Respect in Sport, and Code of Conducts.
- Ensure compliance with relevant laws and regulations related to player registration, database management, including data privacy laws.
- Works with FVYSA to ensure player insurance information is submitted and up to date.
- Generate reports related to player and team statistics.

General
- Assist the Events Coordinator with planning of Picture Day and other special events.
- Other administrative duties as assigned.

SKILLS:

- Exceptional interpersonal skills and the ability to build strong relationships with stakeholders.
- Ability to multitask while maintaining high attention to detail.
- Ability to work with staff across multiple departments.
- Proficient in Microsoft Office Suite with strong computer skills.
- Competency in writing reports and handling presentations.
- Knowledge in creating spreadsheets, management budgets, and office finances.
- Highly organised and with an extremely sharp proofreading eye.
- Passion for soccer or sports administration a plus.

RELATIONSHIPS:

- Reports to the Executive Committee.
- Works closely with Technical Director, Bookkeeper, Team Head Coaches, Managers, and club volunteers.
- Works with Board of Directors.

WORKING CONDITIONS:

- The position will be based at the club office, may require occasional evening and weekend commitments.

**Salary**: $40,000.00-$43,000.00 per year
