**You as a Project Administrator**:

- Assist with project related documents in a timely manner and maintain up-to-date and accurate tracking logs.
- Generate and manage the review and issuance of Subcontract Agreements ensuring all relevant documentation is provided and meets CGI’s requirements; follow up with trades to obtain all relevant contract documentation, review and ensure Bonds and Certificates of Insurance are accurate and meet CGI’s requirements.
- Process all change management documentation in applicable systems, always ensuring accuracy.
- Maintain organized project files in accordance with company’s Project File Structure.
- Attend meetings and record and distribute minutes of meeting.
- Expedite or coordinate information submitted by owner, consultants, trades, and suppliers.
- Assist with Operations and Maintenance (O&M) Manuals at closeout.
- Assist project team members by taking initiative to minimize and complete tasks and ensure accurate document control practices and procedures are followed.
- Maintain effective communications to ensure all stakeholders are informed and up to date
- Partner with project team members and other stakeholders to identify, develop, implement, and support cost-effective project delivery.
- Support project teams with project financials including expenses, invoicing, and client updates.
- Communicate with accounting and project management teams regarding project billings and cost discrepancies.
- Coordinate with project management team on project close-out to confirm completion of work and billings and ensure there are no outstanding items.
- Upload project related supplier and expense invoices and staffing into the Direct Costs tool in Procore.
- Copying Purchase Orders and Change Orders from Procore to Jonas on a daily basis.
- Provide phone support, maintain contacts and build relationships with clients and subtrades.
- Assist clients and subtrades with uploading invoices into project management software.
- Provide overall administrative support to the accounting and project management teams.

**Key Competencies and Qualifications**
- 3+ years of administrative, accounting or related combination of experience and training.
- Excellent written and verbal communication skills.
- Strong skills in Microsoft office products, including Excel, Word, and Outlook.
- Sound judgment and decision-making skills to evaluate options and make timely decisions that support accounting objectives.
- Flexible and able to manage multiple priorities simultaneously; meet the time demands of unpredictable activities; capable of handling pressure and challenges in a dynamic business environment
- Effective and efficient problem solving and decision-making skills; thoughtful, proactive, and creative
- Demonstrates a sense of urgency and strong commitment to achieving goals; ability to work in a challenging, fast-paced environment
- Knowledge of basic accounting principles, including accounts payables and receivables.
- Adaptable and ability to work in fast-paced, pressured environment while maintaining high quality standards and attention to detail and accuracy.
- Ability to work collaboratively with project teams, stakeholders, and contractors to achieve project goals while maintaining positive relationships.
- Excellent organization and time management skills with ability to prioritize tasks, meet deadlines, and manage competing demands effectively.
