**Your role**
The Office Administrator plays a key role within the region, as they are often the first point of contact for Colliers Project Leaders clients. As such, the Office administrator presents the face of the company to visitors and the voice of the company when they greet and answer phone calls. The Administrator is responsible for the administration of all office functions that have been assigned and has the authority to carry out these tasks. Based in Mississauga, ON
**Responsibilities**:
- Manage reception duties including greeting visitors, answering the company phone
- Provide administrative support including but not limited to; coordinate incoming and outgoing mail and couriers, assembling documents, managing staff lockers
- Assisting with the administration functions that are assigned
- Ensure the office environment is orderly and professional at all times; including desks, lunch-room, storage and common areas
- Booking flight, hotel, and car travel for employees
- Maintain a suitable inventory of all office supplies
- Coordination of all requested office travel and accommodations
- Accounting support as delegated by the Operations Manager
- Complete month end tasks such as mileage logs, review, and process of all overhead reconciliation as applicable and as per the Corporate Accounting schedule
- Ensure completion of all staff timesheets per the deadlines
- Participate and support in Office Health & Safety initiatives
- Other functions as deemed appropriate
Qualifications:
- 3 to 5 years’ experience in an administrative and reception support role
- Post-secondary diploma will be an asset
- Energetic, fun and a team player with excellent communication and organizational skills
- Ability to work in a diverse and busy office environment with frequent interruptions
- Highly cooperative, demonstrates a willingness to assist others and take on new responsibilities
- High degree of personal responsibility, attention to detail and accountability
- Self-motivated with proactive approach to completing tasks
- Works with a sense of urgency and the ability to manage priorities and meet deadlines
