**Regional Coordinator** for one of our busy clients in Calgary, AB. Salary is negotiable depending on experience.
Reporting to the Director of Procurement, the Regional Coordinator is responsible for scheduling and resources, cost management, progress management, and change management of the projects within the region. The Regional Coordinator owns and manages the schedule and makes any adjustments and communications as required. They are the main point of scheduling contact. The Regional Coordinator is responsible for all client communications regarding scheduling, creating work orders, making purchase orders, assigning and sharing the schedule with employees or subcontractors, and updating the project budget.
Our client provides competitive painting services for new residential construction, vertical multi-family projects (new construction condo buildings and apartment buildings), entire new community developments, commercial podium levels (new retail), parkade levels, and industrial structures (bridges and overpasses).
**The duties will include, but not be limited to, the following**:
- Attending the project kickoff meeting.
- Reviewing and understanding all information in the project folder, including plans, drawings, proposals, contracts, budget, specs, and scope of work.
- Assigning and scheduling employees and subcontractors to project(s) or service work.
- Scheduling of project and service work, including work order creation.
- Acknowledge receipt of scheduling requests from the client(s), schedule the request, and notify clients when the work is completed.
- Creating subcontractor POs and updating budgets.
- Updating budgets with hourly and material actual expenses.
- Ensuring budgets align with POs and the work is completed per the contract.
- Approving paint and supply orders submitted by the leadership team.
- Managing site instructions from clients.
- Documenting contract deviations through the change order process.
- Ensuring an estimate is created for potential work that could result in a change order.
- Make sure no extra work is done without an approved change order.
- Back-charging subcontractors for quality deficiencies, causing damage, and not completing work in accordance with the scope of work.
- Monitoring and maintaining weekly/monthly project timelines and budgets.
- Forecasting monthly progress, workforce, and billables.
- Reviewing and approving timesheets through the time management system.
- Attending Foreperson huddles and weekly project review meetings.
- Bridging communication with internal and external clients.
- Supporting client, employee, and subcontractor relations.
- Scope refinement per project (more specific/accurate WOs).
- Execution strategy (i.e. WBS and sequencing, sub/employee strategies).
- Other duties as assigned.
**Skill and Qualifications**:
- High School Diploma or equivalent combination of education and experience.
- 1 to 4 years of experience in project management or project coordination on a large scale.
- Experience working in a construction environment is a must.
- Understanding the fundamentals of scheduling and managing a project including PO creation and budgeting.
- Detail-oriented and strong organizational skills.
- Adaptable, flexible, and excited about change and continuous improvements.
- Intermediate computer skills.
- Customer-focused approach to dealing with internal and external stakeholders.
- Ability to work as part of a team and independently with little supervision.
