Administrative Assistant/reception

**Duties & Responsibilities**:
- Reception of the general public, drop-in and scheduled clients (in-person and telephone).
- Distribute clean supplies, clothing, and food to clients as required.
- Assist John Howard clients with administrative tasks, such as forms, photocopying, and other tasks.
- Support the work of office tenants and direct clients to their programming.
- Provide administrative assistance to the Assistant Executive Director, including credit card reconciliation, site maintenance, administration, and support.
- Maintain appropriate statistical information and reporting procedures as required.
- Maintain and organize general office supplies, ensure they are replenished, current, and relevant.
- Coordinate meetings and events as required; make arrangements for location, food, tools, and resources
- Participate in the planning and execution of fundraising events
- Execute scheduled appointment reminders and follow-up calls with clients as required.
- Ensure services delivered are within the policies and procedures of John Howard Society.
- Communicate with team and supervisory staff on a consistent basis, all information pertinent to the effective and efficient delivery of services.
- All other duties as required.
**Qualifications**:
- College diploma in administration or relevant experience, International experience and education accepted
- Strong interpersonal and teamwork skills
- Exceptional data management, data entry skills Excellent organizational abilities
- Computer literacy, including Microsoft 365, databases, and the internet
- A proven ability to provide excellent customer service
- Other language proficiencies considered an asset
- Understanding of clients with multiple barriers and systemic issues
- Exceptional attention to detail
** Hours of work**: 8:30am to 4:30pm
** Hours per week**: 37.5 hours
