Rock Solid Supply Inc. (RSS) is a privately owned manufacturer and distributor of bathroom vanities and accessories to retailers across Canada. RSS is looking for a motivated and highly organized individual to fulfil the role of **Executive Administrative Assistant**.
**Job Summary**:
The Executive Administrative Assistant will provide administrative support to the Executive Team (CEO/Visionary, COO/Integrator and Controller/Finance) and will functionally report to the COO/Integrator.
**Responsibilities**:
- Manage the COO and CFO’s business calendar and contacts.
- Maintain confidential information for the business, executive and leadership team and ensure information is handled discretely and appropriately.
- Coordinate executive travel arrangements and manage changes/rescheduling to travel, if required.
- Completing monthly expense statements for the executive team.
- Manage scheduling, meeting coordination, and maintain meeting agendas for the executive team.
- Organize and book meetings involving external parties: shareholders, high-level clients, and consultants/partners.
- Provide executives with documentation needed for meetings and correspondence with the business.
- Prepare letters, agendas, briefing notes and minutes of meetings, as well as employee memos as required.
- Delegate and follow up on action items that fall within realm of responsibility.
- Proactively coordinate and engage with the Culture Team/Social committee in planning and organizing company events and team activities.
- Special Projects as assigned by the executive team.
**Qualifications-What it takes to succeed**:
- 5+ years’ experience or equivalent in an administrative and executive support level capacity with increasing responsibilities.
- Excellent business acumen and ability to exercise tact, sound judgement and prioritization.
- Able to observe and maintain the utmost confidentiality.
- Highly organized and detailed oriented. Able to multi-task and keep track of communications and commitments.
- Strong execution skills, able to work within a fast-paced environment, with the ability to adhere to deadlines.
- Analytical and can demonstrate ability to improve processes.
- Clear communicator (oral and written).
- Effective interpersonal skills.
- The ability to be a team player who thrives in a collaborative work environment and is motivated by team success.
