Office Administrator and Executive Assistant

**Forno Cultura’s Office Manager and Executive Assistant is the driving force behind our daily operations, logistics, and administration both internal and client facing. This role is a critical liason between our Back of House production team, Retail Locations, Wholesale Clients and Suppliers. It entails the daily, weekly and Monthly management of delivery logistics systems, supplier ordering and inventory management, financial administration as well as ensuring company-wide support and accuracy in these areas.**
Requirements and Overview
- Proficient in Gmail, Excel, QuickBooks, Mountain Stream Software
- Working knowledge of a restaurant POS system would be an asset
- Strong foundation in food and culinary arts and an aptitude for learning
- Must learn and retain intimate knowledge of our products and services
- Experience with ordering of supplies and invoicing
- Self-motivated worker able to organize and execute daily tasks with mínimal supervision.
- Ability to work in and concentrate in a fast paced and multi-dimensional environment
- Ability to organize, prioritize and communicate professionally with all clients, suppliers, & staff
- Reports to Retail Operations Manager and Production Operations Manager
- Directly manages company delivery Drivers and helps them maintain daily delivery schedules
- Financial literacy and administrative efficiency
- Must be available Monday to Friday from 8am to 4pm, with additional flexibility from time to time
Administrative:
- Accepts and processes Client and Supplier payments and maintains financial health through our invoicing and Wholesale management software
- Acts as the gatekeeper for all general inquires and directs issues to the applicable individual/department for immediate resolution
- Coordinate with mangers and staff daily and communicate needs and priorities
- Office maintenance and supply management
- Manages and maintains all inter-store financial transactions, invoicing, transfers, statements and payables
- Processes Cheques and performs basic financial and postage transactions
Wholesale:
- Oversee wholesale and catering accounts through QuickBooks by processing accounts payables and receivables
- Offers thoughtful suggestions and manages changing client orders within our timelines, ensures proper communication to all affected teams in this regard
- Process wholesale orders with respective department and coordinate deliveries of each order, in addition to all invoicing to clients.
- Process payment for orders
- Issue statements and follow up on payments as necessary
Catering:
- Responds to all catering and special order inquires in a timely fashion
- Process catering orders with respective departments following our company guidelines
- Co-ordinate delivery and payment
- May be required to help pack and process orders
Suppliers:
- Maintain accurate records of suppliers, payables and orders
- Maintain organized electronic records of supplier orders
- Places orders for all administrative supplies, office needs and paper/packaging goods-maintains accurate inventory of said products
Storage and Inventory:
- Perform monthly storage inventory
- Monitor and organize external storage unit (receive shipments, inventory management and coordinate deliveries)
Delivery Drivers:
- Coordinate various requests between stores (daily deliveries and storage orders)
- Coordinate delivery drivers
- Reconcile payroll for Delivery Drivers.
Executive Assistance:
- Provide assistance to executive team on matters relating to operations and administration.
- Coordinates and maintains schedules
**Job Types**: Full-time, Permanent
**Salary**: $43,000.00-$53,000.00 per year
