Job Description Construction Project Administrator - (24000016)Description

The Project Administrator support the respective regions, with duties focused on maintaining project documentation, completing project set up, forecasting and analyzing data, timekeeping, and financial and administrative project close out activities.
- Attend project startup meetings, close out meetings and ensure completion and retention of project forms and documents
- Initiate project setup and ensure that Company processes and workflows are followed related to the project
- Complete customer cost reporting. Review and reconcile actual project expenses against cost estimates. Prepare and distribute various project costing reports for review by management.
- Gatekeep customer purchase orders
- Track orders for a project
- Complete purchase requisitions and process accounts payable invoices. Gatekeep supplier and subcontractor purchase orders.
- Coordinates with Project Accounting to ensure invoicing is set up per contract requirements
- Perform cost control support activities
- Timekeeping, with an understanding of collective agreements and company policy. Ensure timely and accurate time charging.
- Input project information into shared systems and complete project set up process. Set up project folders using standard filing conventions.
- Prepare and submit invoices, statutory declarations, insurance documents, WSIB clearances, and reporting as required by the contract.
- Prepare and submit union wage cost recovery claims.
- Perform administrative duties for job sites, ensuring all documentation regarding timesheets, equipment usage and all personnel related allowances are transferred to accounting daily or weekly as required.
- Ensure receipt of all invoices. Follow up with vendors where required. Reconcile purchases to invoices to ensure accuracy and ensure all invoices are paid.
- Other duties as required by the Company

**Qualifications**:

- Experience working with a unionized workforce
- Experience with cost reporting/timekeeping/expense reports
- Experience working with charge codes
- Experience with mid-level accounting functions
- Working knowledge with Microsoft Office
- Experience with software programs (i.e. VIS or SAP)
- Communication Skills (written, verbal)
- Attention to Detail
- Time Management
- Proactive and has initiative to identify issues and raise them as appropriate

**Job Types**: Full-time, Fixed term contract
Contract length: 12 months

**Salary**: $30.00-$32.00 per hour

Schedule:

- Day shift
- Monday to Friday

Work Location: In person
