**Job Title: Executive Assistant**
**Reports to: CEO**
**Matix Lumber is looking for a full-time Executive Assistant (EA) to join our growing team. The EA would be responsible for providing a wide range of administrative support while maintaining the utmost confidentiality. Working closely with Senior Management and support staff, the EA would provide assistance as needed. The EA’s responsibilities include but are not limited to**:
- Maintaining and proactively organizing complex calendars
- Organizing meetings and conference calls, and ensuring relevant information is shared prior to meetings
- Efficiently booking travel both for both commercial flights and trips on the corporate jet
- Planning events and large meetings including management of Winnipeg Jets Skybox bookings
- Completing expense reports and coordinating with the management team on expenses and invoice approvals
- Assisting in cross-departmental document sharing and preparation
- Handling of sensitive and confidential information through an understanding of protocol, professionalism, and the nature of an executive level office
- Preparing presentations, memorandums, correspondence, and reports frequently containing confidential content
- Performing basic administrative duties including ordering supplies, maintaining boardroom and common areas, and restocking of materials
- Duties and responsibilities directly relating to personal matters for the CEO including booking travel, meetings, organization of schedules and other related personal requests
Required Skills and Abilities:
- Post-Secondary Diploma in Business Administration, or relevant discipline
- MS Office proficiency (i.e., Outlook, Word, Excel, PowerPoint)
- Strong knowledge of office procedures and practices
- Full understanding of executive-level confidentiality
Preferred Skills and Abilities:
- 5-7 years experience in an Executive Administrative role
- Proven organizational methodology
- Ability to write and communicate in a professional manner
- Strong problem-solving skills
