**Job Description**:
This position supports Invoice Team/Project Managers/Client Services/ Operations to the SGS Life Science Services facility. The position will provide assistance to a variety of departmental professionals and senior managers. Must be capable of multi-tasking to meet the department needs and working with multiple managers and assignments simultaneously. Must be able to follow standard procedures, communicate with all levels and a strong team player. Follow Training SOP for training and training records.
- Collect daily samples lab sheet, sort and arrange based by clients and assignment numbers
- Responsible for entering the prices, quotations and PO information for Chemistry and Bio Pharmaceutical projects for each booked assignment
- The quotation needs to be reviewed immediately and the price needs to be entered
- Communicate in a timely manner on all levels with information that is needed to make appropriate decisions and actions or requires assistance
- Work closely with the invoice team and the CS group so there is no delay or time lost during pricing
- Be accurate and precise when the prices are entered under LIMS
- Billing laboratory supplies, material and testing costs in a timely manner
- Work closely with operations to ensure to billing notes are prepared every week
- Function as primary point of contact with the Customer regarding the day to day/weekly progress and status reporting and keep internal resources aligned with client priorities.
- Tracking and reporting of projects in accordance with an approved Project Plan (includes tasking, task owners, dependencies, and timelines).
- Tracking and Coordination of samples, and facilitation of project workflow so it is billed correctly
- Maintain Training Records.
- May perform other responsibilities as assigned including managing small projects
- Provide mutual back-up support to other staff as required
- Provide training to others when delegated.
**Qualifications**:
- Education: University Degree in related fields. This position requires organization skills, teamwork, systematizing and being detailed oriented in generating accurate work.
- Experience: minimum 1- 2-year work related experience in BIO /Pharmaceutical industry or equivalent
- Personnel who have proven record of bringing effectiveness to processes and ability to be detailed and focused on any job assigned.
- Personnel who have excellent organization skills and is detailed oriented. Systematization is his/her strength. Can handle repetitive work with a goal to improve a process to a high effectiveness.
- As per SOP PSL-311-06.04 all employees must maintain appropriate attitude, constant vigilance and attention to detail.
- Incumbents are responsible for their own training records according to training SOP.
- Must be able to read, understand and follow work instructions in a safe, accurate and timely manner.
- Proven ability to manage and coordinate multiple projects in a fast-paced, highly professional environment.
- Ability to work well with others & independently.
- Proven time management skills and a strong attention to detail.
- Works well under pressure.
- Extended hours and shift work may be required from time to time.
- Travel to other SGS locations or client locations may be required from time to time.
- Ensures full compliance with the company’s Health & Safety, Code of Integrity, and Professional Conduct policies.
- Appropriate attitude, constant vigilance, attention to detail and following Training SOP for training and training records.
