Primary Purpose
The Student Services/Administrative Assistant is primarily responsible for enhancing our student and alumni’s overall experience with Brighton College by providing administrative support for the College with respect to all campus operations, processes and procedures.
General Description
Under the supervision of the Campus Director, the Student Services/Admin. Assistant is responsible for providing ongoing administrative support to all departments and instructors with a focus on student services and career services. This position includes a variety of administrative duties to ensure and maintain the efficient operation of the College.
Specific Responsibilities
The Student Services/Admin. Assistant will be responsible for the following, as well as other related duties as assigned, to support the objectives of Brighton College:
General Administrative duties:
- Act as the first point of contact for all students and guests; ensure they are being dealt with in a professional, courteous and timely manner as well as provide appropriate advice and assistance
- Answer and direct incoming calls and maintain call inquiry log
- Assist all departments (e.g. faculty, admissions, finance) with administrative tasks
- Administer student admission exams
- Remain current on academic and administrative policies, procedures, and requirements for all programs
- Update the database in a timely and accurate manner
- Maintain confidentiality regarding college and student information
- Monitor student attendance
- Update the student bulletin board and TV slideshows
- Provide occasional classroom assistance to instructors and students
- Maintain orderly appearance of the reception area, boardroom, and classrooms
- Assist the marketing department as needed (e.g. social media posts)
Student Services duties:
- Conduct student orientation
- Create, modify and distribute student class schedules
- Create and distribute Interim Progress Reports, Transcripts and Diplomas
- Create and distribute Enrollment Letters / Grade Summaries / break letters / LOA for international students
- Provide advising on a drop-in basis to identify student needs and assist with resolving academic problems, schedule questions, practicums or other study related questions.
- Handle student complaints and grievances according to the Brighton College Dispute Resolution Policy
- Process withdrawal and dismissal student files
- Process program failed student files
- Coordinate tutors as needed for students
- Coordinate Requests for Reassessments
- Complete/Process new student enrollment files (Student ID, Schedule Input and Label)
- Cover for Financial Advisor while away from the desk (take payment, cash-in/out, lend out books)
- Review student loan files upon student graduation for completion
- Monitor student loan and funding student’s attendance
- Complete exit interviews with student loan students upon graduation
- Add new users on Canvas for admissions test
- Assist with implementing campus processes and procedures
- Plan and facilitate events which improve student engagement
Education and Experience:
- Diploma or Bachelor’s degree in a related field (e.g. Business Administration)
- One to three years' experience in a similar role is an asset
- Native English speaking
- Excellent communication and interpersonal skills
- Exceptional organizational, time management, multitasking, and stress management skills
- Ability to work independently with mínimal supervision and as part of a team
- Keyboarding speed at least 50wpm is an asset
**Job Types**: Full-time, Permanent
**Salary**: $45,000.00-$50,000.00 per year
