**Position Summary**:
The Operations Manager, Shared Secretariat oversees the day-to-day operations while ensuring organizational effectiveness by providing leadership, developing and implementing operational strategies, policies, plans, and practices. Provides leadership and direction to the administrative team responsible for providing services to the FNHC, FNHDA and Shared Secretariat. Develops and implements project plans, systems, processes, and procedures with a focus on quality, effectiveness and efficiency in operations for the Shared Secretariat Office.
**As a health and wellness organization, the First Nations Health Authority has aligned with the Provincial Public Health Order released on October 14, 2021. We have a mandatory COVID-19 vaccination policy for all employees at First Nations Health Authority. This policy requires all employees to be fully vaccinated against COVID-19. **Responsibilities**:
- With the support of the Executive Director, develops, implements, monitors, and improves systems, procedures, processes, and standards for the operations in the office of the Shared Secretariat. Reinforces and ensures compliance with FNHA internal policies and legal requirements for matters such as budgets and finance, staff attendance, correspondence, issues tracking and management, templates, and presentations, etc.
- Initiates and manages contracts and processes by drafting and finalizing statements of work for the Executive Director.
- Develops action plans and implementation plans for team specific wellness initiatives under the direction of the Executive Director. Monitors and tracks expenses to ensure within the approved budget.
- Makes recommendations to improve administration and operational processes within Shared Secretariat to align with a focus on customer service.
- Manages office budget development by reviewing and analyzing financial data and reports. Provides recommendations on effective strategies related budget optimization for the Shared Secretariat office.
- Assists the Executive Director by reviewing requests for financial approvals within the financial system.

**Qualifications**:
Education
- University degree in Business Administration or health related field, plus 5 years of significant, recent and relevant experience in the area of operations management preferably in the health field, or an equivalent combination of experience and education
Experience
- Significant, recent, and relevant experience within the context of First Nations health preferred
- Experience working with BC First Nations communities and/or organizations
- Experience and Knowledge on First Nations health governance structure
- Experience in financial accounting, budget oversight and management
- Experience utilizing a variety of office tools including Microsoft Office suite and SharePoint
- Experience handling sensitive and confidential information and matters in a trusted and responsible manner
- Experience developing and maintaining administrative systems, processes, and procedures
**Knowledge, Skills & Attributes**:
- Awareness - Thorough knowledge of the current First Nations health governance landscape in BC.
- Decision making - Uses sound judgment to make good decisions based on information gathered and analyzed. Considers all pertinent facts and alternatives before deciding on the most appropriate action. Commits to decision.
- Problem solving - Analyzes problems by gathering and organizing all relevant information. Identifies cause and effect relationships. Comes up with appropriate solutions with mínimal supervision.
- Operations - Ability to provide leadership and management to lead operations including managing activities, prioritizing, balancing demands while working collaboratively within the FNHA and across the health and wellness system to problem solve and manage change
