We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is pivotal in ensuring seamless program operations and providing comprehensive administrative assistance to leadership and teams. If you excel in fast-paced environments and possess exceptional problem-solving abilities and can manage conflicting priorities while maintaining a high standard of professionalism, we invite you to apply. The Administrative Assistant will play a pivotal role in supporting divisional operations, fostering collaboration, and ensuring efficient delivery of projects and initiatives.
Here is what you will be doing:
- Prioritize and manage competing demands to ensure tasks and projects are completed accurately and within tight deadlines.- Develop, organize, and maintain departmental records to ensure accuracy, completeness, and accessibility within established systems.- Facilitate effective communication and collaboration between internal and external stakeholders.- Maintain and update critical documents, responding promptly to requests for information and materials.- Coordinate divisional meetings, including preparing agendas, taking minutes, and tracking action items to completion.- Review, prioritize, and manage incoming correspondence, ensuring timely follow-up on outstanding items.- Respond professionally to inquiries from internal and external parties, ensuring appropriate dissemination of information and follow-through.- Support efficient office operations by liaising with other departments, resolving issues, and equipping new staff and consultants with necessary resources.- Lead assigned projects with a focus on efficiency, accuracy, and excellence in delivery.
Here is what you will need to be successful:
Education and Experience- Completion of a high school or college diploma, major in administrative studies, business administration, commerce, or recognized equivalent- 1-2 years of related work experience is required- Experience in providing all aspects of administrative support to a manager or a team within a program
Knowledge and Skills- Ability to work well under pressure and use good judgment in assessing and responding to difficult situations- Analytical and problem-solving skills and proven ability to research and summarize information- Proficient in operating office equipment such as photocopier, binding machine, fax, etc.- Excellent organizational and time management skills required- Excellent interpersonal and customer service skills- Excellent verbal and written communications skills required
