**Hours**: Full-Time Monday-Friday, 40-hours per week.

**Position Overview**: As the Multi-Family Service Coordinator, you will play a valuable and crucial role in contributing to the completion of our service and warranty projects after initial scope completion.

The Multi -Family Service Coordinator is the support to bring together information and teams. They require strong multitasking abilities, exceptional communication skills, and keen attention to detail. This role will work with the GWI team, external contractors, vendors and suppliers to achieve high quality results.

**Key Responsibilities**:
**1. Coordination & Communication**:

- Serve as the primary point of contact for Multi-Family Service Team schedules, acting as a liaison between Service Technicians, Teams, Sub-Contractors, vendors, and clients.
- Schedule and coordinate service calls, repairs, and warranty work for Multi-Family, Commercial and Residential drywall projects.
- Prepare and distribute daily/weekly schedules for service technicians. Send work orders at least 24 hours prior to scheduled service day; ensure timelines are met for each job
- Provide Service Techs the proper guidance and information to complete jobs effectively and efficiently
- Coordinate all Sub-Contractors for the completion of Service scope projects.
- Ability to sort and categorize Service work (Billable, Deficiency, non-chargeable)
- Create and revise all required sub-contractor Purchase Orders. Approve service-related Sub-contractor invoices for payment complying with GWI Sub-Contractor Payment Schedule.
- Ensure timely communication and follow-up on project timelines, changes, and scheduling requests.
- Prepare weekly schedules, reports and other documentation as required for internal and external stakeholders.

**2. Project Administration**:

- Create and manage Job Files for upcoming GWI projects, ensuring all documentation is available on SharePoint for all GWI team access.
- Monitor inventory and order materials or supplies required for service work.
- Support the planning, execution, and delivery of key projects.
- Monitor project progress and resolve any issues that arise, ensuring deadlines and budgets are adhered to.
- Assist with scheduling and coordinating meetings, resources, and logistics for business operations.

**3. Billable Service and FPO Administration**
- Confidentially determine if Service is billable.
- Assist in preparing estimates for repair and service work.
- Manage FPO tracking sheet to maintain GWI profitability.
- Request FPO’s following GWI and client submission processes.

**4. Team, Vendor & Client Relations**:

- Handle client inquiries, requests, and issues, ensuring a high level of customer satisfaction.
- Build Strong team relationships working together to maintain GWI’s high-quality standards and timelines.
- Manage relationships with external Sub-Contractors, vendors and service providers to ensure quality services are delivered.
- Work with Management to onboard and top-grade Service Subcontractors.
- Negotiate contracts and terms with Sub-Contractors, ensuring services meet business needs.

**5. Business Services Support**:

- Provide support to other Coordinators for vacation and overflow.
- Assist with general administrative tasks, such as data entry, filing, and maintaining records.
- Assist with required accounts payable and receivable tasks to ensure prompt payment.
- Collaborate with the Business Services team to plan, forecast and prioritize upcoming projects and tasks.
- Support the preparation of business documents, reports, and correspondence.

**6. Technology and Process Improvement**:

- Support in tech stack implementation including new resource planning software.
- Ability to access and navigate builder portals to access information, documentation and schedules.
- Identify opportunities to streamline workflows, improve service delivery, and enhance operational efficiency.
- Assist in the implementation of new business strategies and services as needed.
