The Medical Centre Hearing Services is an independent audiology and hearing aid clinic. We serve Peterborough and surrounding areas with full-service hearing care to include infant, children and adult audiograms, ear cleaning and hearing instrument sales and service. We pride ourselves in our follow up care to all our clients.

We are currently seeking an energetic and motivated individual to manage the front office and represent our clinic in a patient care capacity.

**Summary**:
The Receptionist is the first point of contact with patients, and the face of excellent customer service and patient care. In charge of multiple tasks such as answering incoming phone calls, scheduling appointments, processing paperwork, patient and physician correspondence, answering general patient questions, check-in and checkout processes, collecting and positing payments, and minor hearing aid troubleshooting.

**Duties**:

- Greet and welcome patients in a positive, engaging and professional manner.
- Answer incoming phone calls and make necessary out-going calls to patients and other contacts, including scheduling appointments, reminder calls, cancellations and liaison with third parties.
- Ensure accuracy of patient information; including collecting new patient information, verifying demographics, patient health cards, and collecting any required signatures and patient balances.
- Ensure the smooth and efficient flow of patient care through the use of customer service skills.
- Ensure timely booking of new patient referrals, contact patients with appointments where required, and maintain accurate filing of referrals.
- Schedule and confirm appointments while coordinating with the audiologists’ daily calendars and schedules.
- Prepare, manage and file patient charts in accordance with Hearing Services protocols.
- Maintain accurate patient data records using the electronic medical record system called ‘Accuro’.
- Maintain confidentiality and confidential patient health records.
- Ensure an efficient flow of patient charts between front desk and the Audiologists and follow up as required: bookings, acquisition of prior records, liaison with third parties, other medical offices, direct patient contact, and receipt of payment for sales.
- Schedule routine audiological appointments as requested by audiologists.
- Scan patient documents into electronic database and fax audiograms to third parties and physicians’ offices.
- Receive and sort daily mail and packages: ship and receive all new hearing aid orders and repairs; record all shipments sent and received in the log book and in patient chart.
- Record serial numbers of all hearing aids and accessories, warranty dates and battery size on patients charts.
- Perform routine cleaning of hearing aids and minor troubleshooting and hearing aid repairs, such as replacing batteries, tubing, etc.
- Operate and maintain photocopier and fax machines and related tools and equipment
- Maintain inventory of office supplies, as needed in conjunction with team members.
- Other duties as needed or required by management.

**Qualifications**:

- 3 years previous client services experience, preferably in an audiology clinic.
- Experience in telephone triage and booking appointments, preferably in an audiology setting.
- Exceptional professional, strong verbal and written communication skills.
- Superior multi-tasking, time management, and discipline.
- Previous experience with Eletronic Medical Records.
- Ability to set priorities and organize work accordingly in a busy office setting with multplie professionals.
