Reporting to the property manager, the Administrative Assistant - Real Estate is responsible for providing efficient and accurate administrative support in the building's administrative operations. You will work closely with the property management team to ensure the smooth functioning of daily operations and provide excellent service to residents. You will play a key role in the effective management of residential property and resident satisfaction. Your precise administrative support and ability to address resident requests will contribute to maintaining a harmonious and welcoming residential environment.

**Responsibilities**:

- Welcome and direct visitors, residents, and suppliers professionally and courteously.
- Manage phone calls, take messages, and relay them to the relevant individuals.
- Respond to resident requests and address common issues related to property management.
- Organize and maintain resident records, including lease agreements, registration forms, and documents related to repairs and claims.
- Assist in coordinating maintenance and repair activities with suppliers and contractors.
- Prepare and distribute internal and external communications, such as meeting notices, newsletters, and resident notifications.
- Assist in budget preparation, expense management, and rent collection.
- Perform general administrative tasks such as mail management, correspondence drafting, data entry, and file keeping.
- Ensure follow-up on resident requests and ensure they are handled efficiently and promptly.
- Adhere to company procedures and policies regarding confidentiality and information security.

**Requirements**:

- Excellent verbal and written communication skills.
- Ability to manage multiple tasks simultaneously while maintaining a high level of accuracy and organization.
- Strong customer orientation and the ability to solve problems with tact and diplomacy.
- Good knowledge of basic principles of residential property management.
- Proficiency in common computer tools and software such as spreadsheets, databases, and word processing software.
- Ability to work independently and as part of a team.
- Discretion and respect for the confidentiality of information.
