Job Title: Event Specialist, contract
NOTE: This is contract employment to start ASAP and to end May 23, 2025.
Victoria Women’s Transition House (VWTH) is looking for an Event Specialist to help support the fundraising and communications activities of our May 2025 GLOW Gala.
Overview: Working with a team, the contract Event Specialist will coordinate and help implement the fundraising and communications efforts of Victoria Women’s Transition House (VWTH) for the organization’s signature fundraising event, the Glow Gala 2025.
REMUNERATION: $30 per hour
HOURS: 9am-5pm, 28-hours per week on-site
START DATE: ASAP
SUPERVISOR: Development & Communications Director
RESPONSIBILITIES
- Plan, organize and execute logistics for Glow Gala 2025
- Develop and manager detailed event timelines including day-of schedules
- On-Line Silent Auction: Assist the auction committee with auction procurement; collect and track individual auction items; collect and file VWTH charity auction forms from donors; draft auction descriptions for catalogue; coordinate top-bidder auction item delivery, post event; preparation and distribution of auction thank you letters to auction donors, post event
- Donations & Sponsorships: Assist with administration and tracking of Gala sponsorships and donations including collection and filing of agreement forms & corporate logos; preparation of donor and sponsor ‘thank you’ slide show at event; prepare thank you letters for distribution, post event
- Raffle: Coordinate with Development Manager and Communications Manager regarding on-line raffle
- Displays: Assist with preparing on-site auction and other displays and co-ordinate set-up at the event
- Entertainment: Assist with co-ordination of event entertainment
- Volunteers: Collaborate with VWTH Volunteer Coordinator to ensure event volunteers and staff are fully trained and understand their roles.
- Assist on-site as needed
- Other tasks as assigned
QUALIFICATIONS
- A university or college degree/diploma
- A minimum of three years related experience in special event management or an equivalent combination of training and experience
- Excellent organizational, administrative and project management skills
- Strong written and verbal communications skills
- Strong customer service and interpersonal skills
- Excellent computer skills (word, excel). Experience working in Canva or other design program an asset
- A polished and professional presentation
- Comfort working with a volunteer committee, community donors and supporters with tact and diplomacy
- Ability to work independently and as part of a team
ADDITIONAL INFORMATION
- The Event Specialist is required to maintain confidentiality regarding donor information
- Criminal record check is required
- Valid driver’s license and use of own vehicle is required
- Scheduling flexibility, including evening and weekend work, is required
