The **Proposal Administrator, Oil & Gas,** reports directly to the Manager, Proposals, Oil & Gas and is responsible for supporting global Oil & Gas proposal development and delivery efforts. This entry-level position will deal with various levels of the Hatch organization and requires comfort working with Executives, Directors, Pursuit Managers, Functional Leads and Project Managers. In addition, this role demands an individual that is organized, capable of prioritizing competing tasks, and accomplished at gathering and assimilating information from various stakeholders. While the role will be primarily office based during normal business hours, there may be instances, such as events and deadlines, which require work outside of these hours.

**Key Responsibilities**
- Support the global Oil & Gas proposal efforts through all phases of the proposal process, including developing proposal outlines, compiling contributions from stakeholders, and providing non-technical inputs from the proposal library.
- Assist those involved in the development of proposals in the preparation of client-specific capability statements, development of proposal-specific CVs, and coordinating the production of visual aids such as charts and graphics.
- Conduct final proofread and review of proposal documentation to ensure compliance with Hatch formatting requirements. Finalize and package proposals for submission.
- Maintain a database of proposal responses and other documentation for use in proposals, such as global staff numbers, company certifications, safety statistics, etc.
- Support the development of materials for oral client presentations during the pursuit stage.
- Participate in opportunity update meetings for Oil & Gas.
- Provide administrative support to the responsibilities of the Manager, Proposals, including for business development initiatives.

**Qualifications and Experience**

**Essential**
- Proficient in Microsoft Office programs (Word, Excel, PowerPoint).
- Organizational skills - examples include managing inputs from multiple sources an authors into one consistent document, and maintaining multiple related databases.
- Flexible - ability to quickly switch priorities when opportunities arise while still managing longer term projects.
- Interpersonal skills - proven ability to maintain positive relationships with team members to maximize cooperation and achievement of goals, even under deadline pressures.

**Preferred**
- Post-secondary education in Business Administration, Communications, Marketing, Graphic Design, English or Journalism.
- Training or experience in technical writing or proposal writing.
- Experience in Adobe Creative Cloud (Illustrator, InDesign).
- High-level understanding of the oil & gas industry.
