**WHO ARE WE?**

Vancouver Native Housing Society (VNHS) has been in operation since 1984 with the mandate of providing culturally appropriate housing so that tenants have a sense of belonging with supports in place for harm reduction. While the core function of VNHS is in providing housing, there is acknowledgement that many of the tenants have endured intergenerational trauma. Residents have been disenfranchised from their communities and so in addition to housing, VNHS has the responsibility of creating a safe community by connecting residents with community service supports as well as access to cultural opportunities.

VNHS takes the approach that it has been tasked as a custodian of the lands and buildings, rather than a landlord. Tenants did not choose the leadership of VNHS, and it is therefore up to the organization to earn the trust and respect of the tenants. This is achieved by running an efficient and socially responsible organization.

**PROPERTY PORTFOLIO ADMINISTRATOR**

The **Property Portfolio Administrator **reports to the Property Manager and is responsible for providing daily administrative support to the Property Management team. This includes all activities related to tenancy management within the VNHS portfolio as well as coordination of maintenance and repairs required throughout the portfolio.

**Key Duties and Responsibilities**
- Prepares tenancy agreements for each new tenant and ensures Property Manager's have all documentation required for tenant sign-up and move-in
- Sets up tenant files and enters relevant data in the Property Management System for all new tenants
- Maintains up-to-date tenant files to ensure they contain all relevant and necessary documentation as per portfolio operating agreements
- Arranges meetings with residents when requested by the Property Manager
- Updates all internal tenant management systems of any changes to tenancy, occupancy, and tenant-related issues
- Prepares Notices to End Tenancy (NET) for authorization by Property Managers
- Prepares all required documentation for dispute resolution processes when requested by the Property Manager
- Ensures that move-in and move-out inspections are carried out in a timely manner and that appropriate documentation is produced.
- Ensures that suites are move-in ready for new residents
- Ensures requested materials and supplies are delivered to the sites in a timely manner

**Qualifications**
- Experience working with Indigenous and at-risk communities
- Diploma or degree in office administration or equivalent program
- 5 years of related experience in property administration or a combination of education, training, and experience

**Knowledge, Skills, & Abilities**
- Knowledge and understanding of Indigenous histories and cultures in Canada
- Knowledge and understanding of the issues facing Indigenous and marginalized people in an urban setting
- Knowledge of office administration procedures
- Knowledge and understanding of computer systems including Microsoft Office
- Knowledge of the Residential Tenancy Act
- Experience working in the indigenous community and/or at-risk populations is considered an asset
- Experience with Yardi property management software or equivalent
- Robust written and oral communication with the ability to produce reports and letters that are easy to understand
- Ability to work effectively with all staff and management
- Ability to handle sensitive information and maintain confidentiality
- Ability to handle and prioritise multiple tasks and deadlines
- Ability to lead resident management-related tasks to completion
- Ability to manage conflict and de-escalate challenging confrontations using appropriate problem-solving skills
