Executive Assistant - CEO, Finance, Investor Relations

**Schedule**: Full time, Permanent (Hybrid)

**Position Reports To**: Chief Executive Officer

This position will be required to be in office 5 days a week

Position Overview

Reporting directly to the Chief Executive Officer, the Executive Assistant, CEO, Finance, Investor Relations will be responsible for providing support in planning, projects, programs, meetings, communications, and booking travel requirements established by the CEO, Finance and Investor Relations department. They will also oversee the day-to-day office management and provide vacation coverage to the Executive Assistant, Technical Services and Health & Safety Manager.

Key Responsibilities

Support key areas of work including, scheduling of meetings and calendar management, booking travel arrangements for site visits and Board members, project & program facilitation and assuming the preparation and associated duties in support of day-to-day business needs.
Providing administrative support as required, including support in planning and overseeing projects, meetings, and communications
Assist with travel arrangements, meeting scheduling/calendar management, invoicing, budgeting, and general filing
Provides the necessary support and preparation for board and leadership meetings, investor days, conferences, special projects and off-site visits (collaborating with other departments as necessary) and other events
Providing administrative support to the Finance department, such as New Vendor set-up in SAP, budget preparation, administrating Corporate Visa credit cards, and ad hoc duties as required
Provide edits and support to presentations as required
Organize meetings and arrange for catering, boardroom booking and distribution of information
Replenishment of office stationery, kitchen supplies and provide support for office related issues, such as service requests with building management and construction requests
Management of day-to-day office operations with other Assistants (i.e. office supply requests, Iron Mountain storage, receiving & sending mail and couriers, office reconfiguration, organizing corporate office social events and ordering company merchandise)
Other ad hoc duties as required

**Qualifications**:
Minimum 5 years of experience in an administrative role including providing support to C-Suite
Post secondary diploma or certificate in office administration program
