Job Summary:
The Office Coordinator will provide primary administrative and functional support duties for the Operational leadership team.

Essential Functions:
An experienced, reliable, and task-oriented Office Coordinator that will support all areas of the Office, Warehouse and Plant structure including, but not limited to, purchasing, customer service, project management, and EH&S.
- Coordinate and send invitations for company activities, meetings and events. Arranging all logistics, equipment, supplies, refreshments, catering, etc.
- Maintain a clean and efficient office environment, including kitchen and boardroom areas through effective management of the office cleaning subcontractor.
- Process incoming and outgoing mail.
- Greet guests and direct them as needed; Deliver H&S inductions for new employees & visitors.
- Manage phone, office keys and access key fobs (8x8 phone system & security badges).
- Maintain inventory of office supplies, conference, training & break rooms, orders supplies as required and arranges for servicing of office equipment.
- Management of office space, including moves and reconfigurations of workspaces.
- Maintain building contracts, warranties, service agreements, and follow up with renewals.
- Order Marketing material (Business cards, Swag & promotional items).
- Monitor PPE inventory and oversee purchase of health & safety supplies (ordering & stocking).
- Update H&S Corporate Monthly and Annual Reports; Update Cognibox and Health & Safety Training portals; Participate in the JOHSC.
- Work with vendors regarding pest control, first aid & fire extinguishers as well as work clothes.
- Manage Safety Shoes, Safety Glasses eligibility and well as organize annual earing tests.
- Coordinate vehicle replacement & returns; Obtain annual driver’s abstract; Distribute insurance certificates; Maintain vehicle list; Oversee the provincial plate renewals; Coordinate distribution of fuel cards; Manage the 407 transponders; Coordinate vehicle replacement & returns.
- Perform other duties as assigned by the Plant Manager and assist other departments when necessary.
**Education**:
- College degree or equivalent work experience.
Experience/Abilities:
- Must have 3+ years of related experience in Office Coordination in a manufacturing or H&S environment.
- Excellent verbal and written business communication skills.
- Must be detailed orientated and accurate.
- Ability to succeed in an ever-changing and fast-paced environment.
- Ability to effectively manage multiple, competing priorities under a given timeline.
- Ability to show considerable discretion regarding sensitive and/or confidential information.
Interpersonal, Communications and Influencing Skills:
- Excellent communication skills both verbal and written.
- Strong sense of urgency and ability to thrive in a fast-paced environment.
- Ability to work with a team.
- Must be confident, self-aware and independent.
Computer Skills
- Proficiency in MS Suite products
