The Regulatory Specialist is responsible for supporting the development, implementation, and maintenance of Freshstone Brands’ regulatory and compliance programs. This includes ensuring products meet applicable federal, provincial, and customer-specific regulatory requirements, and working collaboratively with cross-functional teams (QA, R&D, Operations, and Procurement) as well as external stakeholders (regulatory bodies, suppliers, and customers).
**REPORTING RELATIONSHIP**:
This position reports to the **VP of R&D, Regulatory and Quality.**
**ORGANIZATION**:
Freshstone Brands Inc. (“FBI”) is a premier manufacturer of high-quality prepared food products that services the retail, foodservice, and co-manufacturing channels. The Company’s products include branded and private label entrées, salads, sides, appetizers, hand-held foods, and other prepared foods. FBI supplies fresh and some frozen items to major Canadian retailers for sale “behind the glass” or in packaged formats in the perimeter of the store, as well as to well-known foodservice customers and major branded food businesses under contract.
FBI manufactures its products in 6 manufacturing plants which are SQF Level 3 certified, strategically located across Canada, giving FBI critical mass and geographic proximity to the US market.
With its own brands, FBI services all the major Grocery, Mass, Club and Food Service customers in Canada either directly or through distributor and broker relationships. Additionally, FBI has co-developed and launched a variety of “own-label” and private label programs with a wide range of blue-chip, recognized retailers and food service companies across North America.
**ESSENTIAL FUNCTIONS**:
- Monitor and interpret federal, provincial, and international food regulations to ensure compliance of Freshstone’s products, labels, and processes.
- Prepare and maintain regulatory documentation including product dossiers, label reviews, and ingredient declarations.
- Support cross-functional teams in regulatory reviews for new product development, reformulations, and private label requirements.
- Maintain and update product and raw material regulatory databases.
- Liaise with government agencies, industry associations, and third-party auditors as required.
- Provide guidance on regulatory requirements including CFIA, FDA, Health Canada, and international standards.
- Support customer and supplier regulatory documentation requests, questionnaires, and audits.
- Participate in internal audits and assist with the development and implementation of corrective actions.
- Assist with product specifications, allergen, and nutritional reviews.
- Other duties as assigned.
**EDUCATION & PREREQUISITES**:
- College diploma or university degree in Food Science, Nutrition, Regulatory Affairs, or a related field required.
- 1-3 years of regulatory or food industry quality/compliance experience preferred.
- Equivalent combination of education and experience will be considered.
**KNOWLEDGE, SKILLS & ABILITIES**:
- Knowledge of Canadian and US food regulations (CFIA, FDA, Health Canada).
- Strong attention to detail and organizational skills.
- Proficient in Microsoft Outlook, Excel, Word, and regulatory databases.
- Ability to communicate effectively with internal teams and external partners.
- Capable of handling multiple projects in a fast-paced environment.
- Experience with Azzule or similar compliance platforms is an asset.
**HEALTH & SAFETY RESPONSIBILITIES**:
The employee is responsible for working in compliance with the provisions of the Occupational Health and Safety Act and Regulations, as well as adhering to all of Freshstone Brands’ policies and procedures, including those related to Health and Safety. They are also expected to work in a manner that ensures a safe working environment for themselves and for others.
**FOOD SAFETY & QUALITY MANAGEMENT**:
Working in compliance with FBI Food Safety and Quality Management System containing HACCP, GMPs, and Food Safety policies and procedures that meet legal and regulatory requirements, customer requirements, audit requirements, and industry best practices. Provided with the food safety training necessary to enable them to perform their tasks. All employees are required to co-operate with any authorized person to ensure that statutory and regulatory obligations are always in compliance.
