Medical Office Administrator

This role is a hybrid of reception and office management. 4 days a week would be on the reception desk and one day a week would be dealing with finance: book keeping, payroll, invoicing etc.
Our receptionist is the face of our clinic and the general go-to person who makes a significant contribution to the feel and efficiency of the office. We are seeking someone warm and bright who is self-directed and will take initiative to solve problems. The focus is on communication, accurate record keeping and organization. This is a full-time position with regular business hours.
**Responsibilities**:
- Maintain a friendly and welcoming waiting room
- Check-in clients and administer covid screening questions
- Discuss our services with prospective new clients
- Use electronic medical record to maintain client charts
- Receive and triage e-faxes
- Coordinate with midwives and midwifery students to ensure smooth patient flow
- Provide excellent customer service and address client inquiries or concerns
- Stock clinic rooms, maintain inventory and order supplies
- Receive deliveries, keep the store room neat and tidy
- Trouble shoot issues around the clinic
- Invoicing the Ministry (training provided)
- Managing accounts payable and receivable
- Liaising with the accountant
- Payroll (2 employees) and preparing tax statements
**Skills**:
- Excellent communication skills, both verbal and written
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize tasks in a fast-paced environment
- Familiarity with electronic medical record (EMR) systems is a plus but computer literacy is essential
- Maintain client confidentiality and medical record standards
- Numeracy, book keeping/ accounting
