Office Administrator

Office Administrator Role:
- Warmly greet clients on phone and in the clinic.
- Interact with clients and direct client inquiries.
- Schedule treatment appointments with the appropriate aesthetician and physician.
- Arrange client files, appointments, ensuring all consent forms have been signed.
- Sending post-care treatment plans as needed, with the direction of the aesthetician and physician.
- Assist the aesthetician and physicians as needed to help prepare clients.
- Light cleaning and sanitization duties around the clinic.
- Check the daily schedule, ensure appointments are appropriately scheduled and confirmed, and fill in cancellations and no-shows.
- Collect and process payments.
- Monitor, order and maintain inventory of office supplies and resale products.
- Inventorying of resale products.
- Other duties as assigned by the manager.
Social Media Role:
- Create daily content, including posts, video, and images for use on social media, such as Facebook, Instagram, Twitter, and LinkedIn.
- Managing Website content with current specials and updates.
- Offer ideas and suggestions on how to improve social media presence and attracting new clientele.
- Promote products, services, and content over social media in a way that is consistent with the company brands.
- Schedule social media posts across social platforms.
- Develop new social media strategies and campaigns.
- Monitor assigned spend on social media posts and pay-per-click advertising.
- Track and analyze the performance of posts, ads, and campaigns.
- Mentor new recruits for similar position within affiliated companies.
Qualifications:
- Outstanding customer service skills
- Organizational, multi-tasking, and time management skills
- Knowledge of aesthetics terminology, spa management software, and aesthetics procedures considered an asset.
- Excellent communications skills
- Photo and video-editing experience
- Problem solving skills.
- Experience designing and implementing successful social media strategies for business.
- Exceptional writing skills, specifically short form content and web copy
- Solid knowledge of SEO, web analytics and Google AdWords
- Strong analytical and organizational skills
- Experience using social media essential.
- Familiarity with online advertising of products.
