**JOB SUMMARY**:
The ByWard Market is Ottawa’s number one tourist attraction and is the premier destination for shopping, dining, arts, entertainment and professional services for residents and visitors.

Established in 2023, the ByWard Market District Authority (BMDA) is the product of an amalgamation of the ByWard Business Improvement Area and Ottawa Markets. The primary role of the BMDA is to serve as the custodians of the vision, economic prosperity, and vibrancy of the historic ByWard Market district. The ByWard Market District Authority is being empowered with a broad mandate to deliver a reimagined ByWard Market district and experience. We are looking for an experienced Office Administrator who will bring energy and organization to our team.

As the Office Administrator, you play a key role within the core team of the BMDA. The Office Administrator will be responsible for coordinating the Management Team in delivering the district’s mandate and programs. The Administrator is a public-facing role and is the first point of contact for customers and clients.

ESTIMATED FOCUS: -Office Management and Administration: 40%-Leadership Coordination and Board Support: 30%-Program Support: 20%-Special Projects 10% RESPONSIBILITIES & DUTIES:

- Assist in the preparation and distribution of permits and processing associated payments
- Manage office supplies and equipment, ensuring availability and functionality.
- Coordinate and schedule meetings, appointments, and events on behalf of the Management Team.
- Manage CRM software and associated updating.
- Provide orientation and onboarding for new hires.
- Support the supervision of seasonal and part-time staff.
- Greet and assist visitors when they arrive at the 55 ByWard Market Square.
- Support the Executive Director, General Manager and Bookkeeper in budgeting and bookkeeping procedures.
- Handle general clerical duties, such as photocopying, faxing, and filing.

QUALIFICATIONS:

- **Education**:A certificate/degree in Office Administration, Business Administration, Planning or a related field
- **Management**:At least five (5) years of experience in a coordination role in an office environment, including submitting, tracking, and reporting financials and correspondence;
- **Organization**: Ability to manage multiple priorities and set work plans
- **Collaborative**: Skilled and working with various departments and groups to facilitate cross-functional communication and projects
- **Detail Oriented**: Focused on the specifics and an eye for automation and workflow.
- **Financial Acumen**:Ability to understand basic bookkeeping principles along with an understanding of the QuickBooks software.
- **Sound understanding of public markets, tourism and business communities**
