**Overview**:
**Responsibilities**:

Application and Financial System Maintenance:

- Interpret and communicate university policies to support applicant, student, and faculty understanding of admissions and progression.
- Troubleshoot issues with online systems and forms; ensure all FGS online services are accurate and user-friendly.
- Conduct focus groups and gather user feedback to drive system improvements.
- Collaborate with Registrarial Services to ensure accurate student records, including registration, leaves, extensions, and thesis details.
- Perform data audits and report discrepancies; co-lead process improvement and policy development initiatives with the Manager.
Graduate Application and Admissions Support:

- Liaise with academic units and Lakehead International to align admissions processes with policy and applicant needs.
- Ensure timely and accurate production of Letters of Acceptance; assist with international recruitment support as needed.
Scholarship and Award Administration:

- Assist in managing graduate funding for 400+ students, including internal and external awards.
- Coordinate scholarship cycles, ensuring compliance with deadlines and granting agency requirements.
- Review financial documents, resolve discrepancies, and process funding through the Student Information System.
- Meet with students to explain funding details and requirements; support faculty in allocating research funds and Graduate Assistantships.
- Act as an alternate Scholarship Liaison Officer for major granting agencies (e.g., OGS, SSHRC, NSERC, CIHR).
Recruitment and Applicant Communications:

- Lead domestic graduate recruitment efforts, develop marketing strategies, and promote program benefits.
- Collaborate with Undergraduate Recruitment and explore non-traditional pathways to graduate studies.
- Represent Lakehead at recruitment events and support alumni and current student outreach.
- Provide admissions advice, contribute to marketing materials, and manage the FGS newsletter and website.
- Support implementation of the annual communication plan and promotional toolkits in collaboration with Marketing & Communications.
Other Responsibilities:

- Attend ad hoc meetings and represent the Faculty of Graduate Studies at university events.

**Qualifications**:
Bachelor’s degree or an equivalent combination of education and relevant experience.
Proven ability to lead and manage change, promote continuous improvement, and motivate colleagues across various levels of the organization.
Strong communication skills, with the ability to convey complex information clearly and effectively to diverse audiences.
Demonstrated experience working collaboratively to ensure timely, consistent, and effective communication with internal and external stakeholders.
