**Job Specific Information**:

**Job Description**:
***: Under the general supervision of the Supervisor - Administrative Support Services, performs central clerical duties for various divisions of Infrastructure & Operations.
**MAJOR RESPONSIBILITIES**:
- Responds to telephone and counter inquiries and provides initial screening and appropriate responses or directs inquiries to proper staff.
- Provides clerical support duties such as distributing incoming mail, filing, typing, formatting, scanning, copying, faxing, maintaining and updating departmental by-laws, and mailing a variety of correspondence.
- Receives, stamps and distributes incoming mail and faxes.
- Provides clerical support for the Forestry Program.
- Enters and ensures completion of work orders and Customer Service Requests in Hansen by submitting them to the appropriate group/department.
- Completes Ontario One Call locates for the Completes Ontario One Call locates for the Parks and Open Spaces section.
- Prepares contract documents for construction projects, and Checks contract bidder submissions for accuracy.
- Maintains inventories of office supplies and processes orders for printing, graphics, and advertising.
- Balances cash sheets and enters in to tracking software.
- Provides back up to the Revenue & Bookings Coordinator during absences and peak workloads times.
- Performs such other related duties as may be assigned.
**QUALIFICATIONS**:
**Education/Experience**:
- Certificate in office administration, and
- One to three years of related experience, or
- Equivalent combination of education and experience.
**Skills/Abilities**:
- Must have excellent customer service skills
- Demonstrated interpersonal, verbal and written communication and organizational skills are essential
- Must be at an intermediate skill level in keyboarding, word processing and in spreadsheet software
**Assets**:
- Knowledge of construction materials and procedures
- Knowledge and functions of City departments
- Knowledge of Hansen software
**CONDITION OF EMPLOYMENT**:
- Must undergo a successful Criminal Record and Judicial Matters Check (CRJMC)
