**SUMMARY OF RESPONSIBILITIES**:
- Assist Maintenance leaders (i.e. Supervisor, Coordinator, Planner, QA) with administrative functions as assigned;
- Provide clerical support: coordinate meetings, take minutes, travel arrangements, prepare documents, daily/weekly/monthly reports, verify expense reports, process agencies invoices, maintain employee database information, etc.;
- Responsible for organizing and safe keeping of all aircraft technical records;
- Audit and scan completed work packages and report any error/ omissions to the attention of the work package leader for correction;
- Update the completed maintenance work packages in our digital maintenance tracking program and transcribe the work into their respective aircraft technical logs; engine, APU, modification/repair logbooks, and component records;
- Provide clarifications on queries related to technical records;
- Administer and maintain technical records and archives as per regulatory requirements;
- Print Work Packs for Heavy Maintenance as required;
- Ensure on-time delivery of work packs to production;
- Support data entry of production paperwork;
- Submit appropriate onboarding documentation for new employees and contractors - including submission of change requests to IT and Skytrack setup (new users, change of department, change of skills, etc.);
- Order office supplies and uniforms;
- Update and maintain department employee files;
- Coordinate in-house or out-of-base training when necessary i.e. travel arrangements, bookings, preparing packages and training contracts etc.;
- Act as a backup for the SMS/Training/H&S group;
- Complete employee schedule;
- Receive, review and approve timesheets and send them to the payroll department;
- Enter employee labor when needed and verify contractors’ hours;
- Monitor crew schedule and labor verification in SkyTrack and ensure it’s accuracy;
- Review employee time on the supervisor work screen in Skytrack on a daily/weekly basis;
- Ensure regular updates are made to the Skytrack Shift Master data tables;
- Other related duties, as assigned.
**QUALIFICATIONS AND SKILLS REQUIRED**:
- Post-secondary education in a related field;
- A minimum of three (3) years of administrative experience in a computerized environment;
- Experience in technical records with solid general aviation knowledge is an asset;
- Experience with CAMP and Quantum Component Control is an asset;
- Keen awareness of how maintenance requirements can impact customers and aircraft airworthiness;
- Proficient in the use of Microsoft Office Products (Word and Excel);
- Strong communication skills and flexibility;
- Very detailed oriented, innovative with a focus on process improvement;
- Ability to work under pressure and possess excellent organizational skills;
- Ability to review own work for accuracy and thoroughness;
- Ability to multitask and work in a fast paced environment;
- Aviation background in billing, manufacturing and/or any other related environment experience, is considered Responan asset.
