**Secretary/Receptionist, Teacher Qualifications Service**
**Temporary (6 months) Full-Time**
The Alberta Teachers' Association, as the professional organization of teachers, promotes and advances public education, safeguards standards of professional practice and serves as the advocate for its members.
Working as part of a service-oriented team in an ongoing learning environment, the Secretary/Receptionist is the first point of contact for all callers and visitors to the Teacher Qualifications Service (TQS). The incumbent also provides administrative assistance to staff and completes special projects and additional duties as assigned. Specific responsibilities include:
- Answering and screening phone calls; responding to routine inquiries; and forwarding requests for additional information or advice to the appropriate staff member;
- Providing the public with general information on TQS;
- Recording verbal and written member contacts and related activities in the member database;
- In collaboration with Finance, receiving and processing fees received for evaluations;
- Photocopying certified true copies of documents;
- Scanning records, files and other documents;
- Managing the general TQS inbox and TQS SharePoint portal and digitizing member’s documents for the TQS staff;
- Sorting and distributing incoming mail and entering documents received in Alinity;
- Backing up Receptionist/Reviewer and helping with work overload as needed.
**Qualifications**:
- Completion of grade 12 and up to two years of business and computer training with an emphasis on records management, data entry and analysis;
- A minimum of two years’ administrative experience and reception in a professional setting;
- Bilingualism in English and French is considered an asset;
- Experience working in a member-driven organization in the registrar’s office of a post-secondary institution is an asset;
- Experience using Alinity is an asset;
- Intermediate abilities in Microsoft Office and databases;
- Demonstrated accuracy in keyboarding, proofreading, spelling, punctuation and grammar is essential;
- Strong attention to detail, communication, interpersonal, customer service and decision making skills;
- Ability to maintain confidentiality;
- Effective time management skills including the ability to work with high workload volumes, strict deadlines and mínimal supervision; and
- Must demonstrate the use of sound judgment and have a high level of initiative.
**Salary**:This position offers a competitive starting annual salary of $47,074 (pro-rated at 6 months) plus a full range of employer-paid benefits.
**Hours of Work**:35hours per week, Monday to Friday, 9:00am - 5:00pm.
**Work Location**: Barnett House (11010 142 Street NW), Edmonton.
