W.S. Morgan Construction requires a reliable and experienced Receptionist / Job Cost Administrator.

Telephone, greeting visitors, scheduling meetings and appointments, making arrangements for supplies and services and assisting with other accounting data entry as required. Job setup, entering estimates, payroll hours and preparing progress draws in our software system. Assisting in other accounting data entry as required.

Previous experience as a Receptionist / Administrative Assistant or Office Administrator would be an advantage. Construction industry experience, previous job cost experience and/or Jonas software experience would also be an asset.

**Responsibilities**:

- Answering phones and administrative assistant duties including scheduling meetings and appointments, taking detailed minutes, maintaining the filing system, and booking travel arrangements
- Ordering office supplies
- Reconciling expense reports
- Support of company operations by maintaining office systems and supervising staff
- Liaise with facility management vendors, including construction-oriented issues, cleaning, catering, and security services
- Orchestrate in-house and/or construction job site-specific activities
- Interaction with Senior Management, Supervisors, internal and external stakeholders Interpersonal relationships requiring written and verbal communications
- Setting up jobs and estimates, entering payroll hours to jobs, preparing monthly progress billing draws.
- Other accounting data entry as required

**Qualifications**:

- Proven experience as a Reception / Administrative Assistant, Front Reception / Administrative Assistant or Administrative Assistant
- Internet / Intranet and/or Computer Technology certifications and/or competency
- Knowledge of office administrator responsibilities, systems and procedures
- Proficiency in MS Office (MS Excel and MS Outlook, in particular)
- Hands-on experience with office machines (e.g. fax machines and printers)
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Reliable and detail-oriented with strong organizational and planning skills
- Ability to work in a fast-paced environment and meet deadlines
- University, College and/or High School degree; additional qualifications/certifications / experience as an Administrative Assistant or Bookkeeper
- Jonas Software experience would be an asset

**Physical Demands**:

- Ability to perform quickly while under pressure in a fast-paced construction office
