**Job Summary**

**Teja Food Group**is a fast-growing, dynamic food company based in **Calgary**, and we’re looking for a **detail-oriented, proactive Purchasing & Logistics Assistant** to join our team.

In this role, you’ll support the Purchasing Department with both administrative and procurement-related tasks, while also managing logistics coordination, invoice coding, and import documentation. You'll play a key role in ensuring timely, cost-effective purchasing and efficient inbound logistics to keep our operations running smoothly.

There is also potential to take on **inventory management responsibilities** as the role evolves; however, **your drive and initiative will help shape the duties that best suit your strengths**.

**Key Responsibilities**

**Purchasing**
- Prepare, issue, track, and receive purchase orders based on approved requisitions.
- Follow up on deliveries and resolve order or delivery discrepancies.
- Maintain and update supplier and product databases.
- Assist in freight price comparisons and basic freight company evaluations.

**Logistics & Shipping**
- Coordinate delivery schedules with suppliers, carriers, and internal teams.
- Track and monitor shipments to ensure timely arrival and escalate delays as needed.
- Liaise with the warehouse regarding inbound shipments; verify received goods and update records.
- Maintain shipment and delivery logs.

**Importation Support**
- Prepare and review import documentation (commercial invoices, packing lists, bills of lading, etc.).
- Coordinate with customs brokers, shipping agents, and freight forwarders to ensure smooth clearance.
- Ensure compliance with import regulations and internal policies.
- Maintain accurate import records for reporting and audit purposes.

**Invoice Coding & Finance Liaison**
- Match supplier invoices with purchase orders and delivery receipts.
- Identify and resolve invoice discrepancies or mismatches.

**Administrative & Reporting**
- Maintain accurate procurement and logistics records.
- Prepare basic procurement and logistics reports as needed.
- Support inventory replenishment planning and tracking.
- Perform various administrative tasks and projects.
- Organize electronic files, handle data entry, and maintain records.

**Qualifications**
- Ability to work both independently and collaboratively to meet team goals.
- Experience with **importation**, and **CFIA processes** is a strong asset.
- Familiarity with **invoice coding** and **ERP systems** (e.g., Business Central, Sage).
- Proficient in **Microsoft Office Suite**, especially Excel.
- Strong organizational and communication skills in a fast-paced environment.
- High attention to detail, with the flexibility to adapt to shifting priorities.
- Eagerness to take on new responsibilities and grow within the role.

**Preferred**
- Knowledge of **Incoterms** and basic shipping terms.
- Experience in **purchasing, supply chain, or logistics**.
- Prior work with **freight forwarders or customs clearing agents**.
- Background in the **food service industry** is a plus.
