Job Responsibilities:
**Data Entry & Record Management**
- Maintain and update internal systems to ensure accurate and up-to-date employee and operational information
- Organize and manage both digital and physical administrative and HR files

**Inventory & Supplies Management**
- Assist with regular inventory checks and maintain accurate records of office supplies and equipment
- Support the ordering, distribution, and tracking of office materials

**Document Preparation & Reporting**
- Prepare, format, and file various reports, presentations, and internal documents
- Support data collection and reporting for audits and management reviews

**Administrative Support**
- Assist in scheduling meetings, booking venues, preparing materials, and coordinating logistics

**Licensing & External Liaison**
- Coordinate with government agencies and external stakeholders as needed

**Employee Relations & HR Administration**
- Support onboarding and offboarding processes, including employment contracts, internal transfers, and exit documentation
- Maintain employee records and assist with organizing training or orientation sessions

**Recruitment Support**
- Post job openings, screen resumes, and arrange interviews

**Attendance & Timekeeping Management**
- Monitor and verify employee attendance records
- Provide accurate data for payroll processing

**Compliance & Workplace Safety Support**
- Assist in preparing documentation for employment standards, WSIB, and health and safety compliance
- Support internal audits and maintain up-to-date knowledge of relevant regulations

**Job Requirements**:

- Diploma or degree in Business Administration, Human Resources, or a related field
- Previous experience in administrative or HR support roles is preferred
- Proficient in English (both written and verbal); Mandarin is an asset
- Strong organizational and time management skills with high attention to detail
- Ability to handle sensitive information with confidentiality and professionalism
- Excellent interpersonal and communication skills

**Job Term/Work Schedule**
- Full-time, Permanent
- Monday to Friday, standard business hours (9:00 AM - 5:30 PM with lunch break)
