Project Administrator

**Position Scope**
We are looking for a qualified, motivated and service-orientated individual as a Business Administrator. This person will play a critical role in supporting the Modification and Service teams. You will also get to build your skills and experience with the very latest food safety technologies. There is the opportunity to stretch your technical and commercial understanding as you work with our customers, which many of them are leaders in their sectors.
**Key** Responsibilities**
- Provide administrative support to the project modification team
- Provide customers with correct parts or replacement parts and sends the customer quotations, assist with the purchase and shipping so their issues may be resolved in a timely manner.
- Handle project scheduling including spare parts received, invoicing and shipping
- Schedule travel arrangements for team members
- Prepare petty cash and meal allowance claims
- Process and track expense reports and perform light accounting duties e.g. reconcile credit card statements to receipts
- Other general office duties and ad-hoc projects as assigned
**Qualifications & Abilities**
- Two or more years of project administration experience
- Self-starter who takes initiative and maintains excellent follow-through and follow-up
- Technical mindset and curiosity, highly organized, goal-oriented, sense of urgency, detail-oriented and able to manage changing priorities
- Demonstrated ability to adapt to a fast-paced dynamic environment
- Ability to work with minimum supervision but as part of a tight-knit team
- Capacity to prioritize and meet deadlines, understand business needs and objectives
- Demonstrated excellent interpersonal, verbal and written communication skills
- Fluent in English and knowledge of Chinese is desirable
- Strong knowledge of MS Office including Microsoft Excel, Word, PowerPoint and Outlook
