Purchasing Administrative Assistant

**The role**:
Reporting to the Category Buyer, the Purchasing Administrative Assist is responsible for assisting the team in carrying out administrative support, inventory management, data analysis, report generation, and other tasks in the store to ensure the team’s continuous and smooth operation.
**Major Responsibilities**:
- Ensuring outstanding service by creating a friendly shopping environment and supporting the sales team to provide a customer-focused approach to purchasing administration. Such as re-approaching, greeting, and acknowledging every customer.
- Being knowledgeable of product types and functionalities and staying up to date on the most current sales and promotions.
- Support for all aspects of Stock management, including Monitoring stock levels &identifying purchase needs, keeping accurate records of incoming and outgoing inventory, maintaining quality control of goods by verifying incoming shipments, filling Back Stock Form, and supporting shipping and receiving of goods, etc.
- Conduct reconciliation of invoices and process purchases at the cash register if needed.
- Support cleanliness and maintenance of physical store to create a safe and comfortable shopping experience.
- Generate weekly sales reports of the store and conduct data analysis related to operational metrics.
- Draft flyer and posters content and regularly posting through varies social medias as required.
- Perform related tasks as required.
**Knowledge, Skills, and Ability Requirements**
- Minimum 1 years’ experience in Retail Beauty Store/Brands or Administrative experience is preferred.
- Possess good knowledge of health and beauty products and have passion in the industry.
- Demonstrate good communication skills with proficient Chinese (Cantonese and/or Mandarin) and English
- Proficiency in MS Office Suit including Work, Excel, PPT, etc.)
- Ability of using basic Graphic Design Web Tools, such as Canva would be an Asset.
- Detail oriented, results-oriented, self-disciplined and willingness to learn and ability to take initiative.
**Shift**
- Shift work is required (8 hours shift)
- Weekdays & Weekends, 5 days/week.
