The Program Coordinator is responsible for coordinating and administering the delivery of one or more programs (e.g. RBT2, Gateway program) and related infrastructure projects within the CFO Division.

As assigned, the Program Coordinator will collect and analyze project-level information and produce program-level reports and dashboards to help ensure coordination of inter-departmental contributions to the program and the efficient and consistent planning, execution, monitoring and controlling of elements common to the projects such as risk, schedule, resources, engagement and First Nations consultation; among others.

The Program Coordinator will also contribute to the development of the port authority’s Project Management Framework for capital projects, support the adoption of the framework by project teams, as well as identify opportunities for improvements and implement approved changes.

**What you do**:

- Write briefing papers, business cases, submissions, reports and presentations to facilitate program approvals.
- Prepare requests for proposal; participate in the selection of consultants and contractors for services retained at the program level.
- Collect, analyze and summarize project-level information and prepare program-level reports and dashboards.
- Prepare high level schedules for program coordination and resource management purposes.
- Provide program coordination advice to the appointed Project Manager.
- Coordinate the planning, execution, monitoring, controlling and reporting of program level work activities, risks and budget.
- Track action items, issues and risks and ensure timely resolution.
- Coordinate and administer consultant activities, reporting on status and checking progress claims.
- Engage regularly with other VFPA departments to ensure a common understanding of roles and responsibilities and to support resource management and coordination of inter-departmental contributions to the program.
- Coordinate and participate in communication and consultation with program stakeholders.
- Contribute to and administer the planning and delivery of VFPA’s Project Management Framework for capital projects, which includes project management systems, processes, practices and tools.
- Prepare documentation, work instructions, and other training material for the framework.
- Contribute to the change management effort to drive project team adoption of the framework, including collecting lessons learned and identifying opportunities for improvement.
- Support the infrastructure project teams with the use of the framework, including troubleshooting any issues and providing guidance and training for implementing the tools.
- Identify opportunities for improvements and implement approved changes.

**What you bring**:

- Must have a university degree in civil engineering, business or project management from a recognized educational institution along with a minimum of three (3) years related experience in the concurrent delivery of multiple complex infrastructure projects including project monitoring and reporting, business requirement gathering, and process improvements.
- CAPM and/or other equivalent project management certification is required.
- Must have excellent communication skills, both oral and written.
- Must be a team player with excellent interpersonal and communication skills and the ability to work effectively and positively with all contacts, internally and externally.
- Must be able to work independently, accurately and on own initiative to maintain work output with minimum supervision. Must be a highly organized and detailed-oriented individual who can manage competing priorities and perform multiple tasks as required.
