**THE ROLE IN A NUTSHELL**
The Health Admin Assistant will provide dedicated operational and administrative support to the Clinical Operations team, with a focus on streamlining non-clinical tasks currently performed by nurses. This role will support scheduling, referral processing, documentation coordination, and operational reporting to enable clinical staff to focus on direct client care. The position will initially support the team led by Karma Stanley and may expand as operational needs evolve.
**Key Responsibilities**
***Scheduling & Coordination**
- Manage scheduling of clinical assessments and follow-ups, including DNS workflows and nurse appointments.
- Coordinate preventative health activities (e.g., downloading Dynacare files, uploading results).
- Maintain and update scheduling trackers and calendars.
**Referral & Request Processing**
- Process incoming referrals (Career, PN, HH) and ensure timely data entry and triage.
- Track and log referral volumes and turnaround times for reporting purposes.
**Documentation & Communication**
- Support assessment preparation by organizing intake materials and documentation.
- Assist with the creation and distribution of newsletters (admin/logistics content).
**Operational Reporting & Billing**
- Compile and submit monthly operational metrics to the Data & Insights team.
- Support month-end billing activities by reconciling service logs and preparing summaries for finance.
**WHO WE'RE LOOKING FOR** Qualifications**
- 3-5 years of experience in administrative or operational support, preferably in a healthcare or clinical setting.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite, Excel, and scheduling tools.
- Experience with CRM or referral management systems is an asset.
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively in a fast-paced environment.
