**THE OPPORTUNITY**

**DUTIES AND RESPONSIBILITIES**:

- Build and maintain relationships with other Club staff and Board members, where applicable.
- Interact and converse with members, guests, and other employees in a friendly, courteous, and co-operative manner. Maintain a positive and helpful attitude towards members, guests, and other employees.
- Warmly greet and assist members and guests. Enquire if they have any questions or require assistance and respond in a professional, courteous manner.
- Provide administrative support for General Manager, and Facilities and Development Manager. Supports other managers from time to time.
- Reception and general office duties to include answering phones, directing calls, ordering catering, coordinating office upkeep, etc.
- Schedule meetings as required by management and Board.
- Prepares and distributes the annual Operational Calendar.
- Support the coordination, preparation of meetings where requested to do so.
- Support the coordination, preparation of all shareholder’s meetings, including Annual General Meeting and any Special Meetings of Shareholders.
- Assist in budget preparation and updates.
- Responsible for the management and distribution of Club keys and access codes.
- Assist managers with correspondence, copying, scanning, and managing calendars.
- Respond to general enquiries, forward messages, and redirect calls as appropriate.
- Receive payments from members and submit daily deposit reports.
- Assist with accurate member information in JONAS database.
- Complete opening and closing duties as required.
- Responsible for Patrol calls and logs in the winter season.
- Supports the Member Guest Experience desk in the ski season.

**QUALIFICATIONS**
- Minimum of five (5) years of experience in an administrative role preferably in a member-based club or hospitality setting.
- Successful completion of a College Diploma in Business Administration or related field would be preferred.
- Advanced proficiency is required in the use of MS Word, Excel, PowerPoint, and MS Outlook. Experience with JONAS would be an asset.
- IT skills such as trouble shooting and software updates would be an asset.
- Ability to perform and communicate in a highly professional and effective manner in a fast-paced environment.
- High level of critical and logical thinking, analysis and/or reasoning.
- Strong time management skills.
- Proven ability to work to tight deadlines with strong judgement and decision-making abilities.
- Detail oriented with excellent proofreading skills.
- Perform all tasks safely in accordance with health and safety policies. Flexible, adaptable, and able to execute a range of job duties and changing priorities.
- Possess excellent written communication skills.
- Experience dealing with IT systems (Teams, database software, etc.)
- Possess professional maturity and impeccable integrity.

Hours of work: June, July and August - Monday to Thursday

Shoulder Season - Monday to Friday

Ski Season - Wednesday to Sunday including holidays
