**ABOUT THE OPPORTUNITY**

**WHAT YOU'LL DO**

**Receptionist Duties**
- Sit at the front desk and warmly greet visitors.
- Answer incoming phone calls and direct them to the appropriate staff members.
- Handle general inquiries and provide information about the organization.
- Be responsible for general office upkeep.

**Schedules & Record Keeping**
- Coordinate and schedule Health, Safety, and Environment (HSE) training sessions.
- Manage training bookings, including participant registration and attendance tracking.
- Arrange and manage Drug and Alcohol (D&A) testing appointments for employees.
- Maintain accurate training and D&A documentation in accordance with organizational policies and legal obligations
- Assist managers in updating and releasing operation schedules, ensuring all relevant team members are informed of any changes or updates to the schedule.

**Administrative Support**
- Assist the manager in preparing site-specific health and safety plans
- Manage and track commercial vehicle inspections, ensuring compliance with regulations and maintenance schedules.
- Maintain accurate records of vehicle inspections and follow up on any required actions.
- Assist in managing purchase orders (POs) and receipts, ensuring timely processing and accurate documentation.
- Provide general administrative assistance and coverage for other office staff as needed.
- Assist with various tasks, such as data entry, filing, organizing documents and other ad-hoc office support.

**WHAT WE'RE LOOKING FOR**

**Education Requirements**
- Completion of high school diploma or equivalent
- Completion of an administrative certificate or 2-year diploma program from a university or college is a huge asset

**Experience Requirements**
- Previous office administration experience an asset
- Previous receptionist experience an asset

**Technical Requirements**
- Excellent written and verbal communication skills.

**Soft Skill Requirements**
- Effective communication and interpersonal skills.
- Ability to multitask and prioritize tasks effectively.
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy.
