**About Aegis**:
**Role and Responsibilities**:
This role is designed to support the efficient and effective functioning of Aegis Industrial Finishing by supporting front end operations of Aegis and serving as the first point of contact for customers.

This position requires a versatile individual with strong organizational skills, attention to detail, and the ability to handle a variety of tasks with mínimal supervision. The Office and Operations Administrator will contribute to a positive and productive work environment and play a key role in ensuring smooth operational processes.

Reporting to: Sales Operations Manager

**Key Responsibilities**:
**Office Administration**:

- Handle all incoming calls promptly and professionally, directing calls to the appropriate contact.
- Greet and assist visitors in a courteous manner.
- Maintain office supplies, reorder as necessary, and ensure that office equipment is in good working order. Coordinate repairs or replacements as needed.
- Assist with data entry, report creation, and purchasing tasks. Ensure data accuracy and integrity.
- Customer Database Maintenance: Ensure customer data is properly maintained.

**Operations Support**:

- General support to Sales and Operations team.
- Work Order Creation, complete whiteboard magnets.
- Maintain the sample chip board and order new chips from the production floor as needed.
- Assist in the coordination of shipping and receiving activities.

**Estimating Support**:

- Pull quote data from customer drawings into Excel documents.
- Assist with building quotes in JobBoss (the company's ERP system).
- Perform estimating tasks based on provided price lists and guidelines.
- Supporting the development of estimating/pricing catalogs.

**Other Responsibilities**:

- Participate in special projects as directed by the Sales Operations Manager.
- Assist with Marketing and Social Media by taking video and/or photos as directed.
- Working with the team on reviewing the quote-to-invoice process.
- Identify opportunities to improve office and operational processes and implement solutions.

**Skills and Qualifications**:

- Proven experience in office administration and operations support.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with ERP systems (JobBoss preferred) and CRM systems (Pipedrive preferred).
- Ability to interpret technical drawings and specifications.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Problem-solving skills and a proactive approach, with ability to analyze and solve.
- Experience in manufacturing (steel fabrication, finishing, design, etc) is preferred.
